We are seeking an Executive Support & Training Coordinator to provide high-level administrative support, customer interaction, training coordination, and executive-level assistance in a remote, casual, part-time capacity.
This is an on-demand role with required weekday availability beginning at 12:00 PM ET (typically through 5:00 PM ET as needed). While the role is variable, it includes consistent daily responsibilities, resulting in reliable paid time during the afternoon window.

Key Responsibilities
- Provide executive administrative support, including venue searches, contract coordination, logistics, class postings, and collaboration on behalf of leadership with contractors and customers
- Schedule meetings, book travel with precision, and handle time-sensitive tasks in a professional, organized manner
- Answer phones professionally, respond to customer orders and inquiries, and deliver excellent service (including de-escalation when needed)
- Manage team resources such as rosters, reference materials, and tools; coordinate training materials, sessions, and onboarding support
- Maintain a high level of organization across files, data, processes, and evolving administrative duties during coverage periods
Required Qualifications
- Ability to start and be responsive weekdays at 12:00 PM ET (core coverage window through approximately 5:00 PM ET; consistent availability required)
- U.S. residency and authorization to work in the United States
- 18+ years old
- Reliable high-speed internet, a quiet professional workspace, and a distraction-free setup during work periods
- Strong Microsoft Word, Excel, and Outlook skills (data management, professional emails, task and schedule tracking, file organization)
- Excellent communication skills (professional phone and email presence; personable demeanor)
- Customer service experience, including phone handling and de-escalation
- High attention to detail, strong organization (especially with files, data, and processes), multitasking ability, listening skills, and follow-through
- Adaptability to changing priorities and the ability to manage stress productively
Preferred Qualifications
- Experience in executive support, administrative coordination, training management, or similar roles
- Background in venue search, contract coordination, travel booking, or logistics
Bilingual (English/Spanish) – Highly Preferred
Full fluency in both languages is strongly preferred, including professional writing, phone conversations, everyday dialogue, slang, and emotional nuance, to ensure clear, empathetic, and culturally attuned communication with customers and contractors.

Compensation
- Eligible for a raise after 90 days with a positive review
