Overview
We are seeking a highly organized and proactive Virtual Assistant to support our team for a, large security company, with a variety of administrative and clerical tasks. This remote position offers an excellent opportunity for individuals with strong office management skills, excellent communication abilities, and proficiency in various digital tools. The ideal candidate will be detail-oriented, tech-savvy, and capable of managing multiple responsibilities efficiently to ensure smooth daily operations.
Duties
- Manage calendar appointments, schedule meetings, and coordinate events using Google Workspace and Microsoft Office tools
- Handle data entry, filing, and document proofreading to maintain accurate records
- Respond promptly to emails and phone inquiries, demonstrating professional phone etiquette and customer service skills
- Manage multi-line phone systems and front desk responsibilities in a virtual capacity, including greeting clients or customers as needed
- Provide customer support via email or chat, addressing inquiries with professionalism and efficiency
- Assist with office management tasks such as organizing files, maintaining office supplies inventory, and supporting administrative projects
- Perform personal assistant duties including calendar management and task prioritization to optimize workflow
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Calendar)
- Strong computer literacy and familiarity with office management software such as QuickBooks
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Exceptional typing speed and accuracy for data entry and document proofreading
- Bilingual abilities are a plus for communicating with diverse clients or team members
- Experience with clerical tasks such as filing, data entry, and document management
- Knowledge of front desk operations, phone etiquette, and customer service best practices
- Ability to manage time efficiently using effective scheduling techniques
- Previous experience as an administrative assistant, personal assistant, or medical/dental receptionist is desirable but not required
