This is a part-time position working with our all-volunteer, non-profit organization. This is primarily a remote job, with flexible hours and schedule. Minimum pay for 10 hours/month is guaranteed.

Functions and Responsibilities
Continuing Education Program Administration
1. Coordinate and manage a continuing education program for clinical social workers and other mental health professionals, consisting of 2-3 events per year (online). Note: The Sanville Institute is approved as a Continuing Education (CE) provider by the California Psychological Association Office of Professional Development. The Administrative Coordinator will be guided by their documentation and record-keeping requirements.
2. Provide administrative support to Sanville’s CE Committee who selects presenters and topics. Support will involve maintaining a timeline, attending, and taking minutes at scheduled meetings, designing flyers and publicizing events on the website and through email campaigns, as well as creating evaluation forms based on information from the committee and presenters.
3. Set up and manage a system for registering and communicating with event attendees, monitor attendance, distribute and collect evaluation forms, and issue certificates of completion to attendees. Once a CE event is over, submit paperwork to the CPA and maintain required records for The Sanville Institute.
4. Set up and maintain a mailing list for tracking attendance of CE events and for promoting future events, as well as contact info for members of the Sanville community including scholarship recipients, alumni, and former faculty.
Scholarship Program Administration
5. Maintain important operational files on the Sanville Google Drive such as applicant files for all of the finalists (Sanville Scholarship Documents) of the Sanville Scholarship Award.
6. Provide administrative support to Sanville’s Board of Trustees who select four PhD students annually to be recipients of the Sanville Scholarship Award. Support includes publicizing at schools, correspondence with raters and applicants, reviewing applications for completion, setting up Google folders, maintaining all applicant and rater documents including applications, evaluations, and program timeline, and attending and taking notes at special board meetings.
Miscellaneous Responsibilities
7. Calendar and attend annual and quarterly meetings of the Board of Trustees.
8. Take minutes for the Board of Trustees meetings.
9. Retain, update, and back-up procedures, electronic files, and email.
10. Work with web developer to troubleshoot and test Sanville Institute website.
11. Other duties as assigned.
Position Qualifications
1. At least one year of experience providing administrative support in a work setting.
2. Strong written and verbal communication skills. Ability to compose clear and effective emails and meeting minutes, light editing, proofreading, and light research.
3. Strong organizational and time management skills.
4. Computer skills using Mac and PC including proficiency in MS Word, Excel, email marketing platforms, Google Suite, WordPress (creating events), and hosting Zoom meetings.
5. Experience with graphic design for marketing events highly desirable.
6. Strong interpersonal skills. 7. Ability to maintain confidentiality of scholarship program documents and information.

Pay: $35.00 - $45.00 per hour
Expected hours: 2.5 – 5.5 per week
