ProLine Diesel Repair LLC is a fast-growing mobile diesel & gas fleet repair company serving:
- Santa Clarita
- North San Fernando Valley
- Antelope Valley (Palmdale/Lancaster)
- Ventura County
We operate multiple mobile service vans providing:
- Dealer-level diagnostics
- On-site repairs
- PM services
- Clean Truck Check (diesel smog)
- Fleet maintenance & inspections
We are expanding toward a 7-van operation, and we need a remote Fleet Service Coordinator who can manage scheduling, parts ordering, technician communication, and customer approvals — all from home.
Position Overview
This is a remote operations role responsible for:
- Scheduling jobs for multiple mobile technicians
- Ordering and tracking parts
- Managing approvals with fleet customers
- Coordinating with vans in the field
- Maintaining workflow and communication
You will be the central hub of our daily operations.
Key Responsibilities1. Scheduling & Dispatch
- Build efficient schedules for 2–7 mobile service vans
- Assign jobs by location, skill, urgency
- Handle same-day/emergency calls
- Keep vans productive (70–100 billed hrs/mo each)
2. Parts Ordering
- Order parts from vendors
- Track shipping & delivery ETAs
- Communicate arrival updates to techs
- Handle returns, warranties, core charges
3. Customer Communication
- Call fleet managers for approvals
- Provide updates, estimates, and diagnostics
- Maintain strong customer relationships
- Follow up on pending authorizations
4. Technician Communication
- Be the main point of contact for all techs
- Provide info, part numbers, job notes
- Troubleshoot workflow issues
- Keep techs moving efficiently
5. Administrative Duties
- Open and close work orders
- Upload photos, notes, and parts
- Create and send invoices
- Maintain accurate documentation in our system
Requirements
You should have at least 2 of the following:
- Automotive service advisor or dispatcher experience
- Auto parts ordering experience
- Fleet operations or scheduling background
- Experience supporting mobile techs or field teams
- Strong customer service skills
- Ability to multitask under pressure
- Comfortable working independently from home
- Excellent communication and time management
Preferred (Not Required)
- Diesel or automotive repair knowledge
- Experience with fleet accounts
- Shop management software (Shopmonkey, Fullbay, etc.)
- Bilingual (English/Spanish)
