Administrative & Creative Operations Assistant (Contract)

About the Role
The Trenia Group is a multi-division consulting and creative organization supporting healthcare, marketing, publishing, and community-centered ventures. We seek a detail-oriented, reliable administrative assistant who can support operations across several business units and help maintain structure across our growing ecosystem.
Key Responsibilities
- General administrative support (email organization, scheduling, file management)
- Maintain weekly time logs and project trackers
- Assist with meeting minutes, agendas, and follow-up items
- Light document formatting for clinical and business work (training provided)
- Assist with basic social media content scheduling
- Organize publishing files and follow SOPs for manuscripts and KDP prep
- Vendor follow-ups and light project management
- Document cleanup & template formatting in Google Docs, Sheets, OneNote, and Canva
- Maintain folders, naming conventions, and shared drives
Light website support:
- Update text and images on existing pages
- Add pages using templates
- Maintain navigation and branding consistency
- No coding required
Minimum Qualifications (Required)
- 1–2 years of administrative, virtual assistant, customer service, or relevant experience
- Strong written and verbal communication skills
- Basic proficiency with Google Docs, Sheets, Drive, and email platforms
- Strong attention to detail and accuracy
- Organized and able to follow structured workflows & SOPs
- Comfortable managing multiple small tasks independently
- Reliable access to a computer and stable internet
- Demonstrated professionalism, confidentiality, and dependability
Preferred Qualifications (Not Required)
- Experience with Canva, OneNote, Meta Business Suite
- Familiarity with basic project trackers (Google Sheets, Excel, Trello, etc.)
- Ability to support multiple workstreams simultaneously
- Exposure to publishing workflows (KDP, manuscripts)
- Willingness to learn new systems quickly
