Key Responsibilities
The Remote Administrative Assistant will be responsible for a variety of tasks, focusing on virtual coordination and digital organization:
- Managing and routing digital correspondence (email, chat platforms, virtual mailboxes) and maintaining a strictly digital filing system (e.g., SharePoint, Google Drive).
Serving as the primary virtual point of contact, directing inquiries to the appropriate team member across time zones.
Coordinating the on-boarding and off-boarding process for remote employees, including setting up digital access and equipment delivery logistics.
- Digital Scheduling and Coordination:
Managing complex calendars and coordinating meeting logistics across digital platforms (e.g., Zoom, Teams, Google Meet).
Preparing digital meeting materials (agendas, slide decks) and accurately documenting and distributing meeting minutes virtually.
Monitoring team communication channels (Slack/Teams) to ensure timely responses and follow-up on action items.
- Data Entry and Digital Reporting:
Performing accurate data entry and maintaining cloud-based databases and shared spreadsheets.
Assisting with digital expense reporting, invoice processing, and managing records within cloud-based accounting software.
Requirements
- High School Diploma or equivalent; associate's degree or higher preferred.
- Proven experience (1-3 years) as an administrative assistant, secretary, or relevant role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time management skills.
- Excellent written and verbal communication.
- High level of discretion and professionalism when handling confidential information.
