We are seeking a highly organized, proactive, and resourceful Administrative Assistant to support a multifaceted creative professional — an independent musician, actress, and entrepreneur — in managing her artistic, community, and business ventures.
This is a dynamic and fast-paced role that blends traditional executive support with creative and logistical coordination across multiple domains: music, film, and entrepreneurship. You will act as the artist’s right hand — supporting daily operations, communications, scheduling, and logistics — ensuring that all creative, business, and community projects run smoothly. The ideal candidate is a trusted partner who can manage operations behind the scenes, anticipate needs, communicate effectively with diverse stakeholders, and help bring creative visions to life.
Manage and maintain the artist’s calendar, coordinating rehearsals, performances, meetings, events, and travel.
Prepare meeting agendas/notes, briefing documents, contracts, presentation materials, and travel itineraries.
Serve as the primary point of contact for inquiries, partners, creative collaborators, and media, ensuring timely and professional communication. This includes handling correspondence—emails, calls, messages—with professionalism and discretion, drafting communications, and prioritizing incoming requests.
Maintain an organized digital and physical filing system for creative works, media assets, and administrative records. This includes tracking all upcoming booking opportunities and maintaining a bookings calendar and media kit.
Maintain confidentiality with sensitive personal, financial, and business information.
Education & Experience:
Associate or bachelor’s degree preferred (e.g., Arts Management, Business Administration, Communications, Music, Theatre, or related field) or 2+ years of administrative or project coordination experience, ideally supporting a creative professional, entrepreneur or small creative business.
Experience in performing arts, entertainment, or event management is highly valued.
Skills & Competencies:
Excellent written and verbal communication skills.
Proficiency with Microsoft Office, Google Workspace, and scheduling software
Basic understanding of event planning and project coordination.
