Job Overview
We are seeking a detail-oriented and organized Bookkeeper to join our team. The ideal candidate will be responsible for maintaining accurate financial records, managing accounts, and ensuring compliance with financial regulations. This role requires proficiency in various accounting software and a solid understanding of financial concepts. The Bookkeeper will play a crucial role in supporting the financial health of our organization.
Schedule
- Part-time (25 hours/week), with the goal to convert to full-time within 6 months.
- Flexible, but you must be available Monday through Friday for at least 4 hours each day between 9 AM and 5 PM to collaborate with clients and our team.
- Tools that may be used: QuickBooks Online, Microsoft 365, Gusto, ADP, Paychex, eBacon, Tax1099, BILL, Ramp, Melio
Responsibilities and Duties:
- Manage and oversee all aspects of the accounting process, ensuring accuracy and timeliness.
- Lead and optimize bookkeeping processes, implementing best practices in financial management and reporting
- AR and AR processes as detailed below
- Assure payroll and tax compliance and provide timely management detailed below
- Coordinate and prepare financial reports, contributing to strategic planning and decision-making.
- Reconciliation of bank statements and financial discrepancies.
- Ensure compliance with accounting principles and company policies.
Accounts Payable Tasks including:
- Collect accurate and detailed information for new vendors
- Create new vendors in QBO
- Correctly enter each vendor bill and process payment
- Correctly enter any employee expense reports and link payment to CC or process payment if necessary
- Utilize any given payment processor needed
- Support creation and distribution of 1099’s
- Follow up with vendors and clients to ensure bills are paid on time
Accounts Receivable Task including:
- Collect accurate and detailed information for new customers
- Handle all accounts receivable when necessary and at peak times in the month to make sure each invoice is accurate
- Submit invoices to our clients customers via email
- Code invoices to the appropriate team, project, or program
- Review aged receivables and follow up with grant/contract managers to determine the status of the payments
- Check bank account daily to track receivable
Payroll task including:
- Collect detailed and accurate information for new client employees
- Enter employee information into various payroll processing softwares
- Confirm and comply with federal laws regarding employee details
- Follow detailed and strict guidelines on each individual clients payroll processing preferences
- Update payroll tax detail per state and federal regulations and ensure client compliance
Knowledge, Skills, and Abilities:
- 3+ years of small business bookkeeping experience
- Intermediate knowledge and understanding of GAAP and accounting principles, terms, and guidelines.
- Knowledge of General Ledger systems.
- Knowledge of accrual and cash basis accounting systems.
- Proficient personal computer skills
- Ability to calculate figures and amounts such as but not limited to discounts, interest, commissions, percentages, depreciation, and amortization.
- Demonstrates strong attention to detail.
- Demonstrates the ability to identify and problem solve in a timely manner.
- Ability to multitask and prioritize while working in a high-volume, rapid pace environment.
- Ability to act as leader among workgroups, fostering teamwork and cooperative problem-solving.
- Working towards or have a bachelor's degree with a concentration in an area of finance
Physical Requirements:
- Use of keyboard, monitor, telephone, and other standard office equipment.
- Communicate effectively in person and via telephone, video conferencing, email, and written documents.
- Access document equipment and files above and below waist levels.
- Sit and/or stand for extended periods of time.
- Work a flexible work schedule, which may require early mornings, late evenings, and/or weekends.
