Chief of Staff (COS) to the CEO
We are seeking a Chief of Staff (COS) to partner directly with the CEO in building a layered, sovereign, and forward-thinking organization at the intersection of law, technology, education, and innovation.
This role is ethics-first and compliance-driven: handling sensitive information with discretion, operating within legal frameworks, and upholding non-negotiable ethical standards are central from day one.
This is not a conventional COS role - it is a hybrid of strategist, operator, and builder.
The COS will be both a trusted advisor and an all-rounder: someone who can sit in on board-level discussions one moment and handle billing questions or customer intake the next.
The COS must learn, document, and systematize each workflow before delegating, ensuring that the organization scales on strong foundations.
The role is remote by default, but may involve hybrid or in-person participation as projects, training, or expansion require. Interns or junior staff may join the COS function over time, and the COS will play a central role in training and transitioning tasks.
Responsibilities
- Partner with the CEO to shape strategy, set priorities, and design systems aligned with long-term vision.
- Participate in boardroom and governance activities; ensure effective follow-through, compliance documentation, and accountability.
- Lead due diligence and vendor management, enforcing non-negotiable compliance and ethical standards across jurisdictions.
- Manage daily operations: email, calendars, billing inquiries, scheduling, and administrative workflows.
- Handle client intake and communication, including inbound and outbound calls.
- Oversee customer service channels to ensure responsiveness and quality.
- Support business development, vendor relationships, and marketing initiatives.
- Coordinate social media and brand presence in alignment with organizational strategy.
- Track budgets, financial activity, and compliance with advisors and external providers.
- Document and systematize all workflows so they can be transitioned to interns, juniors, or future hires.
- Represent the CEO in defined contexts with clients, vendors, advisors, and community stakeholders.
- Develop scalable systems for accountability, transparency, and cross-border operations.
Experience & Skills
- Background in operations, project management, executive support, or strategy.
- Strong organizational and analytical skills; able to balance strategic judgment with detail work.
- Comfort with compliance, contracts, and financial literacy (or willingness to learn quickly).
- Excellent communication - written, verbal, and interpersonal - adaptable to different audiences.
- Customer service orientation with professionalism and empathy.
- Familiarity with social media, digital marketing, and vendor coordination.
- Proficiency with Google Workspace, spreadsheets, project systems (Notion or equivalent), CRM/ERP tools, and VoIP platforms.
- Ability to work across time zones; core collaboration in Pacific Time with flexibility for international calls.
- High ethical standards, discretion, and commitment to compliance.
- Adaptability in a fast-changing, multi-sector environment; willingness to handle both high-level and hands-on work.
