Job Summary
I am seeking a highly organized and proactive Executive Assistant to support the CEO in a dynamic and fast-paced environment. This role requires exceptional administrative skills, attention to detail, and the ability to manage multiple tasks efficiently. The ideal candidate will possess strong communication abilities and a commitment to providing high-level executive administrative support.
Responsibilities
- Provide comprehensive executive administrative support to the CEO, including calendar management and scheduling meetings.
- Coordinate and plan events, ensuring all logistics are handled effectively.
- Manage project coordination tasks, tracking progress and deadlines.
- Maintain office management duties, including organizing files and managing supplies.
- Perform bookkeeping tasks using QuickBooks, ensuring accurate financial records.
- Handle data entry, clerical tasks, and filing with precision.
- Assist with personal assistant duties as required by the CEO.
- Utilize Microsoft Office Suite and Google Workspace for document preparation, proofreading, transcription, and correspondence.
- Maintain professional phone etiquette while managing multi-line phone systems and responding to inquiries.
- Support customer service initiatives by addressing client needs promptly and professionally.
Requirements
- Proven experience in an executive administrative support role or personal assistant position.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications.
- Familiarity with QuickBooks for bookkeeping purposes is preferred.
- Excellent typing skills with attention to detail for data entry and proofreading tasks.
- Strong communication skills, both verbal and written, with a focus on professionalism in all interactions.
- Experience with calendar management using Microsoft Outlook Calendar is essential.
- Ability to work independently while also being a collaborative team player in a busy office environment.
