Job Summary
We are seeking a highly organized and professional Receptionist to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service and administrative support. This role requires strong communication skills, proficiency in office management, and the ability to multitask effectively in a fast-paced environment.
Responsibilities
- Greet and welcome clients and visitors in a friendly and professional manner.
- Manage multi-line phone systems, directing calls to appropriate personnel.
- Handle incoming inquiries via phone, email, and in-person, providing excellent customer support.
- Maintain an organized front desk area and ensure all office supplies are stocked.
- Perform clerical duties such as data entry, filing, and proofreading documents.
- Assist with calendar management, scheduling appointments, and coordinating meetings.
- Utilize Microsoft Office Suite and Google Workspace for various administrative tasks.
- Provide bookkeeping support as needed, including managing invoices through QuickBooks.
- Support office management activities to ensure smooth operations.
- Maintain confidentiality of sensitive information while adhering to company policies.
Qualifications
- Previous experience as a receptionist or in a similar administrative role is preferred.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace.
- Strong computer literacy with experience in data entry and filing systems.
- Excellent organizational skills with the ability to manage time effectively.
- Bilingual candidates are highly desirable for enhanced communication with clients.
- Familiarity with multi-line phone systems and phone etiquette is essential.
- Experience in customer service or support roles is required.
- Knowledge of QuickBooks or bookkeeping practices is a plus.
- Strong typing skills with attention to detail for accurate documentation.
- Previous experience as a dental or medical receptionist is advantageous but not mandatory.
