About the Role
We are seeking a highly organized and resourceful Part-Time Executive Assistant (EA) to the CEO to provide strategic and administrative support in a fully remote capacity. This role goes beyond traditional assistant duties; you will act as a gatekeeper, communicator, and project coordinator, ensuring the CEO’s time and priorities are effectively managed.
This position is ideal for a proactive, detail-oriented professional who thrives in a remote environment and can balance flexibility with high accountability.
Key ResponsibilitiesCalendar & Scheduling
- Manage the CEO’s calendar, ensuring priorities are aligned and conflicts resolved.
- Coordinate meetings across multiple time zones.
- Provide advance preparation materials and reminders.
Communication & Correspondence
- Manage the CEO’s inbox, draft and edit professional correspondence.
- Screen and route phone calls and messages.
- Act as liaison between the CEO and internal/external stakeholders.
Meeting & Project Support
- Prepare agendas, presentations, and briefing notes.
- Manage meeting logistics (Zoom links, invites, document distribution).
- Capture action items and follow up on commitments.
- Provide support for special projects as assigned.
Travel & Logistics (Occasional)
- Book flights, hotels, and ground transportation if needed.
- Prepare itineraries and handle expense reporting.
Confidentiality & Discretion
- Handle sensitive information with integrity and professionalism.
- Exercise sound judgment on what requires the CEO’s direct attention.
Technology & Tools
- Use Microsoft Office Suite or Google Workspace, Zoom/Teams, and project tools (Asana, Trello, or similar).
- Maintain organized digital files, contact databases, and shared folders.
Qualifications
Required:
- 3–5 years of experience as an Executive Assistant (C-suite experience preferred).
- Excellent organizational skills with the ability to manage multiple priorities.
- Strong written and verbal communication skills.
- Proven track record of maintaining confidentiality.
- Proficiency with Microsoft Office Suite or Google Workspace.
- Self-motivated, proactive, and comfortable working independently in a remote setting.
Preferred:
- Bachelor’s degree or equivalent experience.
- Experience supporting executives remotely across time zones.
- Familiarity with project management or CRM tools.
Position Details
- Schedule: Part-Time (15–25 hours per week; flexible based on workload).
- Location: Remote (must have reliable internet and home office setup).
- Compensation: Competitive hourly rate based on experience.
