We are seeking a detail-oriented and organized Clerical Support Specialist to join our team. The ideal candidate will provide essential administrative support to ensure the smooth operation of our office. This role involves a variety of clerical tasks, including data entry, document management, and customer service. The Clerical Support Specialist will play a vital role in maintaining efficient office functions and supporting various departments as needed.
Responsibilities:
Perform data entry and maintain accurate records in databases and filing systems.
- Assist with the preparation and documentation of reports, presentations, and correspondence.
- Handle incoming and outgoing communications, including phone calls, emails, and mail.
- Provide excellent customer service by addressing inquiries and directing them to the appropriate personnel.
- Organize and maintain office supplies and equipment, ensuring a tidy and functional workspace.
- Support the scheduling of meetings and appointments, including coordinating logistics and preparing materials.
- Assist in the processing of invoices, purchase orders, and other financial documents.
- Collaborate with team members on special projects and initiatives as required.
- Ensure compliance with company policies and procedures in all clerical tasks.
Qualifications:
High school diploma or equivalent; additional education or training in office administration is a plus.
- Proven experience in a clerical or administrative support role preferred.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Excellent verbal and written communication skills.
- Attention to detail and accuracy in data entry and documentation.
- Ability to work independently and as part of a team in a fast-paced environment.
- Familiarity with office equipment such as printers, copiers, and fax machines.
The pay range for this role is: 65,000 - 75,000 USD per year(Remote (Grants Pass, Oregon, US))
