We are seeking an organized and proactive Administrative Support Specialist to join our team. The ideal candidate will provide comprehensive administrative support to ensure efficient operations within the department. This role requires strong communication skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.
Responsibilities:
- Perform general administrative duties including managing calendars, scheduling appointments, and organizing meetings.
- Prepare and maintain documents, reports, and presentations as needed.
- Answer and direct phone calls, emails, and other correspondence efficiently.
- Assist in the coordination of office activities and events, including logistics and materials preparation.
- Maintain filing systems, both electronic and paper, to ensure easy retrieval of information.
- Process and manage invoices, expenses, and other financial documentation.
- Support team members with project management tasks, ensuring deadlines are met and resources are allocated effectively.
- Provide exceptional customer service to internal and external stakeholders.
- Utilize office software and technology to streamline processes and improve productivity.
- Assist with onboarding new employees by preparing necessary documentation and training materials.
- Perform other related duties as assigned by management.
Qualifications:
- High school diploma or equivalent required; associate's or bachelor’s degree in business administration or related field preferred.
- Minimum of 2 years of experience in an administrative support role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with office management software.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to work independently and as part of a team.
- Strong problem-solving skills and the ability to prioritize tasks effectively.

The pay range for this role is: 70,000 - 85,000 USD per year(Remote (Nashville, Tennessee, US))
