Key Responsibilities:
- Greet clients and visitors warmly, ensuring a positive first impression of the firm
- Manage all incoming calls and inquiries, and documenting notes from every client conversation in our database
- Maintain an organized, compliant and efficient e-filing system
- Schedule and coordinate client meetings, both in-person and virtual
- Coordinate all incoming and outgoing physical correspondence, ensuring timely distribution to staff, clients, and vendors
- Provide administrative support to staff, including and not limited to data entry, electronic filing, and document preparation
- Uphold the firm's policies and procedures, ensuring compliance with legal and SEC standards
- Maintain a clean and organized office and meeting space
- Track and order supplies, as needed
- Schedule office maintenance, as needed

Requirements
Qualifications:
- High school diploma or equivalent
- Friendly demeanor and soft interpersonal touch, with the ability to establish a lasting rapport with clients
- Empathy, patience, and adaptability are key in this crucial role
- 2+ years of experience in a front desk or client service role. Big plus if you have experience in a financial or legal environment
- Proficient computer and telephone skills required; experience with client management software preferred
- Excellent verbal and written communication skills
- Strong organizational and multitasking abilities, with a high attention to detail
- Professional demeanor and appearance
- Ability to work independently and as part of a team
- High level of integrity and confidentiality
