Business Manager & Executive Assistant Role Description – Consulting and Coaching Industry:
Seeking an experienced Executive Assistant and Business Manager to provide comprehensive support to the CEO and consultants/executive coaches. Showcase expertise in administration management, coordinating and managing client interactions, social media and internet site management, and overseeing efficiencies and internal process management. Requirements:
- Minimum of 5 years of executive-level support experience, including internal project management, calendar management, meeting coordination, development and editing of marketing materials, social media development, project management and administrative tasks.
- Demonstrated ability to lead work independently, efficiently managing priorities and completing projects and tasks with self-sufficiency and resourcefulness.
- Excellent attention to detail, with strong written and verbal communication skills for accurate and professional correspondence.
- Excellent client relationship management skills.
- Background in directly supporting leaders, contributing to their success through comprehensive support and collaboration that leads to greater client success.
Executive Support:
- Orchestrate CEO's information flow, schedule (250+ appointments/year), and stakeholder relations, acting as their trusted advisor and conflict resolver.
- Serve as the first point of contact, proactively addressing internal and external inquiries via email, phone, and video conference.
- Manage client data and contacts.
- Develop and implement consultant(subcontractor) onboarding.
Project Management:
- Establish goals, manage resources, and execute multiple tasks concurrently to achieve business objectives efficiently. Plan agendas for internal meetings
- Set and manage internal deadlines for key projects – social media, marketing, development of toolkits, etc.
- Thrive in dynamic situations, seamlessly adapting to change and navigating ambiguity.
External Partnerships:
- Manage external leader interactions, handle client invoicing and reconciliations.
- Ensure client response times are met through collaborative planning and monitoring.
- Review/edit client deliverables – e.g. surveys, survey analysis, presentations.
Communication & Content Creation:
- Clearly communicate plans for internal business initiatives.
- Prepare for and edit high-quality documents for executive meetings, presentations, and reports.
Information, Technology, and Social Media:
- Maintain comprehensive 360° view of all internal and client projects, including financial data, project timelines, and key milestones.
- Lead social media presence, develop marketing materials, and manage website updates.
- Analyze and improve internal processes, implementing and fostering adoption of productivity tools.
Manage Marketing Strategy and Plan
- Create marketing timeline, roll out and keep milestones on track.
- Craft Engaging Content & Manage Multi-Platform Presence.
- Create compelling text, image, and video content tailored to each platform's audience and trends.
- Schedule and publish posts across relevant social media channels (e.g., Facebook, Instagram, Twitter, LinkedIn).
- Monitor post messaging performance and adapt strategies based on engagement metrics.
Financial Management:
- Manage accounts payable/receivable, ensuring accuracy and promptly notifying the CEO of discrepancies.
Foster Community & Drive Interactions:
- Respond to comments and messages promptly and professionally.
- Proactively engage with followers, sparking conversations and building brand loyalty.
Analyze & Report on Social Media Performance:
- Track key metrics (e.g., followers, reach, engagement) and report on social media ROI.
- Identify trends and insights to inform future content strategy and audience targeting.
- Stay up-to-date on evolving social media algorithms and best practices.
Resource management and team support:
- Provide support to remote teams, fostering collaboration and communication.
- Identify and address challenges faced by remote workers and proposing solutions.
- Identify, onboard and leverage scheduling tool for coaches.
- Maintain confidentiality of the business operations.
Data analysis and performance tracking:
- Collect and analyze data on operational performance metrics, identifying areas for improvement.
- Develop and implement key performance indicators (KPIs) to track progress and measure success.
Scalability and growth planning:
- Develop approaches to adapt and scale operational processes as the company grows.
- Identify and implementing necessary changes to accommodate increasing team size and workload.
- Establish and refining efficient operational processes, communication protocols, and project management.
Data analysis and performance tracking:
- Report financial and operational insights to leadership to inform strategic decisions.
Vendor management and external partnerships:
- Evaluating and selecting vendors for operational needs, preparing contracts, and managing relationships.
- Collaborating with external partners and ensuring smooth integration with internal processes.

Pay: $24.00 - $26.00 per hour
