Job Description:
We are a rapidly growing digital marketing agency dedicated to helping businesses thrive in the ever-evolving digital landscape. Our team specializes in crafting innovative strategies, impactful campaigns, and high-quality content that deliver measurable results for our clients. As we continue to expand, we’re looking for a versatile and proactive administrative assistant to join our team part-time (20 hours per week).

While this is a remote position, we would love to connect in person -- Bonus points if you’re able to join us in the office weekly for enhanced collaboration and team-building.
Responsibilities:
General Support:
- Work directly with the leadership team to support daily operations and team projects.
- Develop and maintain Standard Operating Procedures (SOPs) to ensure consistent workflows.
- Assist with scheduling, email management, data entry, and other administrative duties.
- Help coordinate meetings, prepare agendas, and track action items.
Sales Support:
- Prepare and customize client proposals, sales decks, and presentations.
- Maintain and update sales collateral and templates to ensure brand consistency.
- Track and manage the sales pipeline using HubSpot or similar CRM platforms.
- Support the sales team by generating reports, monitoring metrics, and streamlining workflows.
Financial Operations:
- Manage QuickBooks to create invoices, track payments, and reconcile transactions.
- Generate financial summaries and assist with budgeting and expense tracking.
- Ensure accurate and timely record-keeping for operational and sales activities.
Marketing & Design Support:
- Design and update marketing materials such as brochures, flyers, and digital assets using tools like Canva or Adobe Creative Suite.
- Create visually appealing templates for proposals, presentations, and collateral.
- Assist in implementing marketing campaigns and coordinating content production.
Qualifications:
- Proven experience in a support role, ideally in administrative, sales, or marketing.
- Proficiency in QuickBooks for financial tasks.
- Experience with HubSpot or similar CRM platforms.
- Strong skills in design tools (e.g., Canva, Adobe Creative Suite) are a plus.
- Excellent written and verbal communication skills.
- Highly organized with strong attention to detail and the ability to manage multiple tasks.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and/or Google Workspace.
Additional Considerations:
- While this is a remote role, joining us in the office weekly would be a valued addition to enhance collaboration and connectivity.
- Experience in developing and maintaining SOPs is highly desirable.
- Familiarity with sales and marketing workflows is a strong asset.
