Job Summary: The Administrative Assistant will provide essential support to ensure smooth operations by managing schedules, tracking tasks, coordinating projects, and maintaining organizational systems. This role requires a proactive, detail-oriented individual with excellent communication skills and the ability to handle multiple priorities efficiently.
Essential Duties and Responsibilities:
- Schedule meetings and manage work time to ensure a balanced and timely workflow.
- Assist with to-do lists, task tracking, and project coordination.
- Maintain filing systems and work management platforms, as assigned.
- Respond to and resolve administrative inquiries and questions promptly and professionally.
- Assist with fundraising and donor-related scheduling and correspondence as needed.
- Prepare agendas and meeting schedules, ensuring all materials are ready in advance.
- Record and distribute meeting minutes or other documentation as needed.
- Perform other related duties as assigned.
Desired Skills and Qualifications:
- High school diploma or equivalent required; associate’s or bachelor’s degree strongly preferred.
- 2+ years of relevant experience preferred.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Self-motivated with the ability to work independently.
- Attention to detail and accuracy in work.
- Proficiency with Google Suite and digitally savvy.
- Familiarity with work management platforms, such as Asana, and experience with file management systems.
- Proficiency in English is required; additional language skills a plus but not mandatory.
Additional Responsibilities:
- Assist with coordinating and scheduling social media posts.
- Support the creation and distribution of newsletters.
- Coordinate logistics for in-person meetings, as needed.
- Travel 1–2 times per year, as needed, to support the Leadership Team.
