Position - Overview

The Project Administrative Specialist is primarily responsible for providing essential support to both field and project operations. This role plays a critical part in ensuring smooth onboarding, efficient dispatching, reliable on-call coverage, accurate record-keeping, and consistent project coordination. The ideal candidate is detail-oriented, thrives in a fast-paced environment, and can seamlessly step in to support day-to-day operational needs.

Essential Duties & Responsibilities

Coordinate project onboarding for internal staff and subcontractors in partnership with the client.
Support daily dispatch operations, ensuring field staff are scheduled efficiently.
Fill in for day-to-day dispatch coverage as needed.
Support rotation and on-call scheduling, ensuring proper coverage at all times.
Enter and maintain accurate data in work order systems, client databases, and internal spreadsheets.
Prepare reports, project documentation, and maintain organized records.
Assist with quality checks of completed tickets and documentation.
Provide support for special projects as assigned.
Assist with general administrative tasks and reporting.
Provide flexible support across departments as needed to address coverage gaps.
Serve as a reliable backup resource to ensure business continuity.
Other projects or duties as assigned.
