Southern Air AC, Heating & Plumbing is seeking a highly organized, detail-oriented, and proactive Executive Assistant to support our senior leadership team. This role will be responsible for managing day-to-day administrative tasks, coordinating executive schedules, and assisting with various operational functions. The ideal candidate will have excellent communication skills, the ability to manage multiple priorities, and a high level of professionalism.
Key Responsibilities:
- Manage and maintain executive calendars, scheduling meetings, appointments, and travel.
- Organize and prepare materials for meetings, presentations, and reports.
- Handle correspondence, including emails, phone calls, and other communications, ensuring timely responses.
- Assist with project coordination, tracking deadlines, and ensuring the completion of key initiatives.
- Prepare and edit documents, reports, and presentations for senior leadership.
- Coordinate and arrange business travel, accommodations, and itineraries for executives.
- Maintain filing systems, both digital and physical, ensuring documents are easily accessible.
- Support senior leadership with special projects and various administrative tasks as needed.
- Act as a liaison between executives, employees, clients, and vendors.
Qualifications:
- Proven experience as an Executive Assistant or in a similar administrative role.
- Strong organizational and multitasking skills with a high level of attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Ability to handle confidential information with discretion and professionalism.
- Strong time management skills with the ability to prioritize tasks effectively.
- Ability to work independently and as part of a team in a fast-paced environment.
- A positive attitude and proactive problem-solving abilities.
