Key Responsibilities:
- Administrative Support:
- Manage the owner’s calendar, schedule appointments, and coordinate meetings.
- Handle email correspondence, prioritize communications, and ensure timely responses.
- Maintain files and records, ensuring confidentiality and organization.
- Project Coordination:
- Assist with project scheduling, ensuring deadlines are met.
- Order and track materials for remodeling projects, confirming accuracy and delivery timelines.
- Collaborate with subcontractors and vendors to ensure smooth project execution.
- Sales Support:
- Assist with drafting proposals, contracts, and estimates for potential clients.
- Follow up with leads, schedule consultations, and support the sales pipeline.
- Maintain and update client information in CRM software.
- Operational Support:
- Create and maintain systems to improve company organization and efficiency.
- Prepare reports, presentations, and documents as requested.
- Monitor and track project progress, reporting updates to the owner.
- Personal Assistance:
- Handle occasional personal tasks for the owner, including scheduling, errands, and other duties.
- Assist in managing travel arrangements and family-related scheduling if needed.
Desired Skills & Experience:
- Proven experience as an executive assistant, project coordinator, or in a similar administrative role.
- Exceptional organizational and multitasking skills with attention to detail.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite, Google Workspace, and project management tools (e.g., Trello, Asana, or Buildertrend).
- Ability to prioritize tasks and adapt to changing needs in a fast-paced environment.
- Experience in the remodeling or construction industry is a plus but not required.
- A proactive attitude, problem-solving skills, and a commitment to delivering results.
