Position Overview
As a Virtual Assistant at Inkgility, you will play a key role in managing administrative tasks, communication, and organizational needs across the company. From supporting our executive team to coordinating projects and assisting with social media, you will ensure that everything runs smoothly and efficiently. Your ability to manage multiple priorities, maintain confidentiality, and contribute proactively will be essential to your success in this role.
Key Responsibilities
Executive & Administrative Support
- Calendar Management: Organize and manage appointments, meetings, and travel logistics for the leadership team.
- Email & Communication: Prioritize, organize, and respond to emails, ensuring timely communication and follow-ups.
- Document Preparation: Assist in creating presentations, reports, spreadsheets, and other key documents to support ongoing projects.
- Data Entry & Organization: Maintain and update internal systems, databases, and spreadsheets with precision and accuracy.
Customer Service & Client Relations
- Client Inquiries: Be the first point of contact for client inquiries, offering excellent customer service via email, phone, and live chat.
- Issue Resolution: Professionally manage customer concerns, escalating issues as necessary to ensure resolution and satisfaction.
- Client Interaction Records: Keep detailed logs of client interactions and ensure timely follow-ups to maintain strong relationships.
Project Coordination & Task Management
- Project Tracking: Monitor progress on key projects, ensuring deadlines are met, and facilitating communication between teams.
- Team Meetings: Organize team meetings, prepare agendas, and manage follow-up action items to ensure projects stay on track.
- Support Special Projects: Assist with research, gathering insights, and updating teams on project progress and deliverables.
Research & Reporting
- Market & Competitor Research: Conduct research to support business development and provide insights for strategic decisions.
- Data Analysis: Compile data, prepare reports, and deliver analysis to inform decision-making across departments.
Social Media & Content Assistance
- Content Scheduling: Help manage social media accounts, including scheduling posts and responding to engagement.
- Social Media Presence: Monitor online interactions and suggest ways to boost visibility and engagement on social platforms.
Qualifications
Experience & Skills
- Proven Experience: 2+ years of experience in a Virtual Assistant, Executive Assistant, or similar remote administrative role.
- Tech Proficiency: Mastery of Google Workspace, Microsoft Office, and project management tools (Asana, Trello, Slack, etc.).
- Communication Excellence: Superior written and verbal communication skills, with the ability to articulate information clearly and professionally.
- Organization & Multitasking: Exceptional organizational skills with the ability to handle multiple tasks and competing priorities.
- Problem-Solving Mindset: A proactive approach to anticipating needs and solving problems before they arise.
