Our mission is to offer compassionate mental health care to clients of all ages. We provide psychiatric evaluations, medication management, and other essential mental health services. As we continue to grow, we are seeking a dedicated and detail-oriented Bilingual Administrative Assistant to support our operations and enhance our client experience.
Position Overview:
We are looking for a part-time Administrative Assistant who is fluent in English and Spanish (Portuguese is a plus) to support our telehealth practice. This role requires excellent communication, organization, and customer service skills. As an essential member of our team, you will be responsible for handling client communications, managing schedules, and ensuring smooth day-to-day administrative operations. This position offers flexibility and the opportunity to grow with our expanding practice.
Responsibilities:
- Answer and make phone calls, ensuring clear and professional communication.
- Coordinate with insurance companies for verifications, authorizations, and follow-ups related to claims and benefits.
- Process insurance claims and work closely with providers to resolve any issues or discrepancies.
- Collect payments from clients, manage billing inquiries, and maintain accurate financial records.
- Schedule initial and follow-up appointments using our electronic medical record (EMR) system.
- Conduct follow-up calls to ensure client satisfaction and address outstanding matters, including payment and appointment reminders.
- Collaborate with the clinical team to ensure timely and efficient handling of client care, including appointment scheduling and documentation.
- Assist with the preparation of client records and ensure all necessary documentation is accurate and up-to-date.
- Communicate effectively with patients, families, and insurance representatives to coordinate care and resolve issues.
- Maintain a high level of confidentiality and comply with HIPAA guidelines in all administrative activities.
- Manage any other administrative tasks that may arise to support the daily operations of the practice.

Requirements:
- Bilingual fluency in English and Spanish (Portuguese is a plus).
- Previous experience in administrative support, customer service, or a similar role (1 year preferred).
- Ability to work 2 days per week for 8-hour shifts each day.
- Strong organizational, communication, and time-management skills.
- Experience with EMR systems or similar software is a plus but not required (training will be provided).
- Ability to handle confidential information with professionalism and discretion.
- Reliable phone, computer, and high-speed internet access for remote work.
- High school diploma or equivalent required.
Preferred Qualifications:
- Previous experience in healthcare, mental health, or a telehealth environment.
- Knowledge of insurance verification and claims processes.
- Familiarity with HIPAA regulations and data privacy best practices.
