Position Overview:
McKinney Specialty Labs and its sister company, McKinney Regulatory Science Advisors, are run separately (under the same executive management) and consolidated into a parent company. The Executive Assistant would provide administrative support to the Chief Executive Officer (CEO) and leadership team of both companies.
As our company continues to grow and evolve, we recognize the importance of a strong executive assistant function to support our visionary leadership team and exceptional workforce. This position will be integral to the continued success and growth of McKinney Specialty Labs and will serve as a strategic partner to our executive team, responsible for managing scheduling, travel, employee communications, events, and all other administrative needs of the CEO and leadership team.
This position will report directly to the CEO.
Essential Duties and Responsibilities:
- Support CEO and leadership team members with various administrative tasks including multiple calendars management, travel, event planning and all other administrative tasks as requested.
- Proactively manage the CEO’s calendars, including scheduling meetings, coordinating with clients, employees, and other stakeholders, making necessary adjustments as needed, and communicating upcoming commitments in a timely manner.
- Ability to proactively identify and prioritize conflicting needs and schedules.
- Plan, arrange and manage travel and related activities including accommodation, transportation, and meals.
- Prepare expense reports and facilitate credit card reconciliation, including working with Chief Financial Officer and Controller.
- Assist in organization and coordination of all legal documentation of contracts, NDAs, leases, etc. and work with company legal advisor(s) to support document coordination as needed.
- Organize key meetings (e.g., client and team meetings) and off-sites including schedule, venue, catering, and IT. Coordinate agenda(s) and assist in developing presentation materials for employee and/or client meetings.
- Participate as an adjunct member of the leadership team including assisting in scheduling meetings and attending all meetings in a support function.
- Plan and execute company events in collaboration with the executive team, department leadership, HR, and other internal teams.
- Provide other relevant administrative support as needed, such as assisting with office space, mail, presentations, and other tasks.
- Research, prioritize, and follow up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Take initiative and exercise judgment in determining the appropriate course of action, referral, or response.
- Successfully complete other necessary day-to-day tasks that support the CEO’s ability to effectively lead the company.
Due to the nature of this role, you are also expected to:
- Handle matters expeditiously, proactively, and follow through on projects to successful completion, often with deadline pressure.
- Complete tasks in an expedient manner and with the highest level of detail orientation.
- Maintain the highest levels of discretion and confidentiality in all matters related to the CEO, leadership team, employees, and company matters.
Qualifications:
- 5+ years professional experience in a similar role supporting a CEO and other C-suite executives
- Bachelor's degree preferred
- Forward-looking, creative problem-solver and thinker who actively seeks opportunities and proposes solution
- Confident team-player with the ability to operate in a dynamic, fast-paced environment
- Expert level verbal and written communications skills
- Strong organizational skills and attention to detail

- Experience with c-level executive calendar management and arranging travel
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Demonstrated proactive approaches to problem-solving with strong decision-making capability
- Highly resourceful team-player, with the ability to also be extremely effective independently
- Proven ability to manage confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response

- Proficient in Microsoft Office (Outlook, Word, Excel, Power Point, Teams), DocuSign, Adobe Acrobat, and Social Media web platforms.
