We are seeking a proactive, organized, and detail-oriented Executive Assistant to support our President/Managing Director in managing a dynamic portfolio of businesses and ventures. This is a remote role requiring an individual who excels at multi-tasking, managing schedules, coordinating communications, and conducting research. The ideal candidate will be comfortable working independently, interacting with vendors and clients across silos, and handling confidential information with the utmost professionalism.

Call and Email Management:
- Act as the first point of contact by professionally answering, screening, and directing calls for the President/Managing Director.
- Manage and organize email correspondence, prioritizing urgent communications and flagging important messages for review.
- Draft, edit, and respond to routine communications, ensuring clarity, professionalism, and accuracy.
- Maintain strict confidentiality in all interactions and handle sensitive information with discretion.
Calendar and Schedule Management:
- Coordinate a complex calendar, scheduling meetings, appointments, and calls across multiple businesses and time zones.
- Provide timely reminders for scheduled commitments, handling last-minute changes and conflicts proactively.
- Prepare daily and weekly agendas to optimize the executive’s time and align activities with strategic priorities.
- Coordinate with various stakeholders to ensure attendance and proper scheduling for all meetings.
Account Services and Client Support:
- Maintain and update client and vendor databases, organizing records and key account information for quick access.
- Act as a liaison for client inquiries, providing administrative support to ensure client satisfaction.
- Track timelines and outstanding action items related to client services, coordinating follow-up actions as needed.
- Facilitate seamless communication with clients, vendors, and partners, enhancing service quality.
Vendor and Partnership Coordination:
- Serve as the primary contact for vendors, managing ongoing communications and maintaining positive relationships.
- Oversee contract timelines, renewals, and service level agreements, ensuring vendor compliance and smooth operations.
- Coordinate contract negotiations, tracking and updating contract terms and deadlines.
- Manage invoices, track vendor payments, and address any issues related to service or billing.
Research and Industry Insights:
- Conduct research on industry trends, market news, and competitive intelligence relevant to multiple business ventures.
- Compile reports on financial trends, market shifts, and industry developments to support strategic decision-making.
- Research and summarize information on supply chain best practices, operational insights, and vendor opportunities.
- Monitor and report on relevant financial and economic indicators, providing timely insights for planning.
Meeting Preparation and Follow-Up:
- Prepare meeting agendas, compile relevant materials, and organize documents ahead of key client and partner meetings.
- Take detailed notes during meetings, tracking action items and distributing follow-up tasks as necessary.
- Compile post-meeting reports or summaries, capturing key takeaways and actionable steps for stakeholders.
- Track deadlines for follow-up items, ensuring prompt action and accountability.
Travel Coordination:
- Arrange travel accommodations, flights, hotels, and transportation for the President/Managing Director.
- Prepare detailed itineraries, including confirmations, contact information, and schedules.
- Track and manage travel expenses, ensuring adherence to travel budgets and timely reimbursement.
- Handle last-minute travel changes and provide ongoing travel support to ensure seamless experiences.
Expense and Financial Management:
- Track and manage executive expenses, preparing monthly reports and maintaining organized financial records.
- Submit expense reports, reconcile receipts, and ensure timely reimbursements.
- Assist in tracking budgets for various projects or initiatives, helping manage expenses effectively.
-- Qualifications --
Required:
- Proven experience as an Executive Assistant or in a similar administrative support role.
- Proficiency with MS Office, Google Workspace, and scheduling software.
- Exceptional organizational and time-management skills, with the ability to prioritize tasks across multiple projects.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication abilities.
- High level of discretion, integrity, and professionalism.
- Familiarity with virtual collaboration tools (e.g., Zoom, Slack, Asana, Teams)
- Experience with CRM software, financial tracking tools, and basic research methods is a plus.
Preferred:
- Associate’s or Bachelor’s degree in Business Administration, Communications, or a related field.
- Executive Assistant certifications (e.g., Certified Administrative Professional (CAP), Executive Assistant Certificate).
- Located in the Raleigh-Durham-Chapel Hill area for occasional in-person collaboration, if needed.
- Experience in supporting executives within consulting, supply chain, or professional services industries.
- Veteran or military-family background is highly valued, as we are a veteran-owned and operated firm committed to supporting the military community.
Job Type: Part-time
Pay: $20.00 - $24.00 per hour
