UpSlope Advisors is seeking an Administrative Coordinator to support a government agency in their efforts to provide disaster recovery resources to American citizens and businesses in need. This position will be the central point of administrative management for a team of data experts helping to plan, expedite and monitor the timeliness, efficiency and cost effectiveness of this relief.
Reporting to the Project Manager, the Administrative Coordinator will keep their finger on the pulse of the program and ensure all tasks are tracked, executed and completed and will be the chief enabler of a highly technical data analytics activity.
This role requires attention to detail, a strong independent work ethic and good communications skills along with mastery of conventional office software applications. It is an important role on a newly awarded program that will provide insights into the disciplines of disaster management, data analytics and geospatial analysis. While this role is primarily administrative in its role, candidates seeking to grow in the fields of data management and analytics are strongly encouraged to apply.
Duties
- Supporting proposal management tasks (e.g., research, writing, editing) and contract management support (e.g., Talent acquisition, deliverables prep)
- Interfacing effectively with high-profile clients, partners, and team members
- Preparing presentations, decks, agendas, reports, special projects, and other documents
- Schedule appointments and maintain calendars
- Schedule and coordinate meetings and staff travel
- Prepare communications such as memos, emails, invoices, reports and other correspondence
- Write and edit communications, from letters to reports and instructional documents
- Create and maintain electronic filing systems
- Implement administrative projects, systems, procedures, and policies.
- Inventories and orders office supplies.
- Serves as liaison with technical support staff for office equipment.
- Pays vendors, maintains facilities and office supply budget, and oversees other expenses necessary to the day-to-day administrative operations.
- Maintains digital and physical records.
- Prepares agendas and takes notes at meetings and archives proceedings.
- Aids in budgeting process.
- Develop and document policies and procedures for administrative processes
Qualifications
- Experience providing professional support to senior-level staff
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
- Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment
- Excellent verbal and written communication skills with strong attention to detail; ability to proofread and edit own work and the work of others.

UpSlope is leading a joint venture in support of a Government Agency that requires deep analysis of data relating to their disaster loan programs. This work will be completed by a team of experts in advanced data, geospatial analytics, user experience design and training. This work will employ a number of emerging technologies and requires a diverse and innovative technical team to ensure the best post-disaster loan experience for homeowners and small businesses. This work aims to expedite SBA disaster recovery loan making which will, in turn expedite recovery for families, businesses and communities.
