Compensation: $92,000 - $138,000
Location: Fully Remote, must be in the United States
Hours: Full Time Days

What to Expect:
Provides multi-faceted support and assistance to ensure effective use of the Chief Executive Officer’s (CEO) time and productive interactions with staff and the public. Plans and directs all administrative, financial, and operational activities for the organization’s CEO. Handles a wide range of executive, administrative and support tasks and independently initiates and implements processes to manage projects, information, and people. Develops positive and strategic relationships at all levels of the organization. Uses discretion, judgement, and knowledge of the organization to facilitate the executive's activities and maintain confidentiality.
Responsibilities:
As the Senior Executive Assistant to the CEO the essential job responsibilities will include but not be limited to the following:
- Organize and prioritize critical issues and required information for the executive to facilitate efficient decision making.
- Provide "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the CEO and staff, demonstrating leadership to maintain credibility, trust, and support with the Executive Team. Complete projects by assigning work to appropriate staff, including the Executive Team, on behalf of the CEO.
- Work closely with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO updated. Anticipate CEO’s needs in advance of meetings, conferences, etc.
- Maintain open communications with the Executive team, including meeting regularly with their operations and technology coordinator and providing information and documents as needed.
- Coordinate all Executive Team meetings and retreats and assist with staff meetings and events as needed.
- Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect CEO’s style and organization policy.
- Provides oversight and guidance to projects of high importance.
- Serve as the point of contact for internal and external constituencies on matters pertaining to the CEO.
- Provide sophisticated calendar management for the CEO. Prioritize inquiries and request while troubleshooting conflicts; make judgements and recommendations to ensure smooth day to day engagements.
- Act as a liaison and provide support to the Board of Directors. Arrange and handle all logistics for the Board meetings and events; schedule meetings; draft agendas; develop, compile, and distribute presentation materials.
- Complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization, including assisting with special projects and strategic initiatives; designing and producing complex documents, reports and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; Assist with meeting agendas and managing logistics for high-level meetings and events; making complex and detailed travel arrangements and completing travel reports; proactively identify process improvements and opportunities to enhance support of the CEO; manage CEO's correspondence, including CEO’s email and mail correspondence and inquiries, and respond to internal and external inquiries (triage and draft responses); prioritize conflicting needs and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
- Handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures.
- Work closely w/the CEO to keep them well informed of and prepared for upcoming commitments and responsibilities. Capture outcomes and next steps to facilitate follow up.
- Research, prioritize, and follow up on incoming issues and concerns addressed to the CEO, including those of a sensitive, highly confidential and critical nature. Determine appropriate course of action, referral or response, exercising judgement to reflect CEO’s style and organizational policy/philosophy/culture.
- Utilizing extensive knowledge of the organization to collaborate with partners and resolve questions and issues
- Comfortably handle highly confidential and time sensitive information with necessary care and prioritization
- Flex to complete various assignments and additional duties to ensure comprehensive and effective support
- May act as an advisor to the CEO

- Strong ability to execute work with a diversity, equity, and inclusion lens.
- Significant executive support experience, including supporting C-level executives.
- Expert proficiency with Microsoft Office and desktop publishing software; ability to design and edit graphic presentations and materials.
- Exceptional communication skills both verbal and written
- Exceptional organizational skills and impeccable attention to detail.
- High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, and staff
- Make appropriate, informed decisions regarding priorities and available time.
- Ability to complete a high volume of tasks and projects with little or no guidance.
- Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
- Able to maintain a high level of integrity and discretion in handling confidential information.

- Ability to switch gears at a moment’s notice.
- Ability to collaborate effectively and partner closely with others in the CEO’s office as well as internally and externally to follow through and achieve results
- Ability to dynamically prioritize and troubleshoot conflicts; anticipates challenges and proactively addresses them
- Comfortable handling multiple items and competing priorities
- Ability to complete a high volume of work and with limited direction & oversight
- Strong interpersonal skills with the ability to build relationships with internal and external stakeholders
- Ability to work well across multiple teams and diverse communities
- Ability to navigate complex situations and organizations; identify and execute on resolutions
Education:
Bachelor’s degree in Business Management or closely related degree, preferred
Experience:
10+years of experience supporting CEO and/or C-level executive
Supervisory Responsibility: No
Travel requirements: Travel will be required
