In this role, you will provide high level administrative support and technical assistance for the Office of the Inspector General (OIG), particularly to the Student Maltreatment Program (SMP) leadership and staff. Duties include:
- Working collaboratively with the Student Maltreatment Program Intake team in receiving and assessing reports of alleged maltreatment.
- Performing high-level administrative support so that correspondence, technical assistance, and information can be executed promptly and in a coordinated manner.
- Working collaboratively with the Student Maltreatment Program Supervisor and Investigative team in implementing maltreatment investigative procedures and program responsibilities.
- Performing high-level administrative and technical program support in compliance with statutory timelines and requirements.
- Providing high-level administrative support services for the Office of the Inspector General, including OIG leadership and staff.
- Contributing to planning, implementing and evaluating OIG goals, objectives and activities to carry out division mission and responsibilities in an appropriate and timely manner.
- Ability to use customer service skills on the phone, in person, and online to provide effective general and specialized office support; including excellent written and verbal communications skills and abilities;
- Knowledge of and skill in the use of Microsoft Suite ( Words, Excel, Outlook, SharePoint, and MS Teams) to create spreadsheets from a variety of sources and compile lists, spreadsheets, and graphs to track projects and activities.
- Skill in data entry sufficient to receive and review source documents, perform data entry, compare documents to database information, and edit, code, and correct documents, search and retrieve data from data systems, create data documents and forms, design templates, perform data queries, grant database/data systems entry and reporting access and capabilities; and
- Skill in word processing sufficient to provide a team of professional staff with high quality word processing needs including preparing memos, reports, newsletters, invoices, financial statements, labels and other documents with minimal error.
- Two (2) years of paraprofessional, clerical or technical experience.
- A paralegal or bachelors degree, in the field of human relations, social sciences, communications, pre-law or a closely related field.
- Web accessibility experience;
- Administrative/Executive support experience
- Knowledge and experience in application of data practice standards, including the Minnesota Data Practices Act, FERPA, or HIPPA
- Proficiency in a second language, specifically Hmong, Spanish, Somilia
- An associates, bachelors, or graduate degree in the field of human relations, communications, or another closely related field.
