JOB OPPORTUNITY: Executive Assistant
This is a full-time remote role for an Executive Assistant to support Reimagine’s Executive Director, Development Director, and wider development department.
Qualities of Who We Seek
The Executive Assistant role is one of the first members of the team many people in the community will meet. He/she/they will provide office and sales support that is a literal extension to everything the team is doing to share our impact and drive our income – from supporting events and managing meetings, to managing the day-to-day details of the office.
Organization, organization, organization! We seek someone who loves detail, who can keep track of and manage details on several fronts at once and thrives on deadlines and followups. As an organization, things are frequently changing and evolving, and we need someone who wants to adapt quickly and move with us.
This position requires someone who jumps in wherever needed and gets things done, someone who is proactive and can work with little direction. He/she/they must have a can-do attitude and be totally comfortable talking to anyone on video calls / slack (and actually loves doing so).
We seek someone who can do everything from schedule (seamlessly managing schedule changes!) and keep on top of an inbox (track record of inbox management a plus!) to project manage tasks on a sales pipeline and conduct special research projects. We want someone who likes to solve problems as they arise and then create or revise systems to help avoid them in future.
A high-level of technical proficiency with systems (e.g. using and troubleshooting Gmail, Google Calendar, gDrive, Asana, Salesforce, various software integrations and reporting) will be required - and it is very helpful if you are already proficient with this list! Ability to learn quickly in a digitalenvironment is key.
In terms of the profile of the person who will best succeed in this role, the ideal candidate:
- Really, truly enjoys supporting others – which means working alongside the Executive Director, Development Director, and development team and assisting in every facet of admin and development. Formal administrative experience is not necessary; though a willingness to learn and be persistent is essential!
- Feels a real sense of ownership to get things done as a partner to the team – this person sees it as their responsibility to get a yes, using creative ideas, making mundane tasks into a game to keep them focused on the goal.
- A problem-solver at heart. While this person does not look to disrupt processes that are working well, he/she/they is constantly assessing how processes could be improved and actively working to share those ideas and implement improvements. In addition, this person knows when to ask for help, and is known for bringing others in to help come up with better solutions.
- Organized. As already mentioned, this person LOVES handling details and multiple projects running in parallel, methodically working through checklists (and creating them as well). This is the kind of person who might color-code their calendar or create a spreadsheet to plan a trip.
- Infectious enthusiasm. This person doesn't have to be the life of the party but who is excited to get to know everyone at the party. His or her interest and empathy are genuine, and about building relationships.
Qualifications
- Administrative assistance experience
- Proven record of staying on top of a changing calendar and dynamic inbox
- Strong phone, slack, zoom etiquette and communication abilities
- Excellent organizational and multitasking skills
- Attention to detail and problem-solving abilities
- Proficiency in project management, communications, and sales software (e.g., Google suite, Asana, Salesforce)
- Can own updates to CRM (Salesforce) re: prospects, visits, other activity. Help formulate an action plan
- Proven ability to streamline systems - e.g. how to work between Salesforce, Asana, Slack effectively and efficiently, offering recommendations on the best tools to have in place from beginning to end
- Knowledge of office management procedures and basic accounting principles
- Experience in a similar workplace setting is a plus
Location & Travel:
This is a remote role, with preference for those based in the Bay Area for occasional in-person meetings. Some travel may be required.
