The Role
We are currently seeking a skilled and highly motivated Executive Assistant contractor to join our company to provide support to our Executive team and assist with general administrative assistance. This role requires agility in supporting several leadership team members at one time and requires proactive thinking, problem-solving abilities, and a high level of professionalism and confidentiality. The ideal candidate will be experienced in handling a wide range of administrative executive support related tasks, have strong calendaring and organization skills and be flexible in order to help respond to evolving business needs.
This is a full time role with a minimum of 3 days a week onsite.
Key Responsibilities
- Provide administrative support to a 5-person leadership team which includes, but not limited to calendar management, expense reporting, travel arrangements and other administrative tasks.
- Be the operational glue within the leadership team.
- Provide on-site support and coordination of team meetings, staff meetings, and other key stakeholder meetings as requested.
- Schedule quarterly Board of Directors and periodic Advisory Board meetings and act as a liaison with their assistants arranging travel logistics and dinners.
- Present recommendations to ensure smooth day-to-day operations.
- Assist with communication throughout the organization and with external stakeholders as needed.
- Assist with editing presentations and materials.
- Support the production, refinement, and completion of reports, meeting minutes, and documentation.
- Coordinate travel arrangements and assist with completion of expense and mileage reports.
- Prioritize inquiries and troubleshoot schedule conflicts.
- In partnership with appropriate functional leads, support HR and other administrative and operational workstreams (e.g. onboarding, contract management and filing, vendor management, etc.)
- Complete a broad range of office management and administrative tasks including shipping/receiving and ordering office supplies.
- Ability to provide support to employees in the office/lab as well as remote employees.
- Plan and coordinate company-wide events.
- Support special projects as needed.
- Perform other duties as assigned and provide additional support as needed.
Qualifications & Requirements
- 5+ years of direct administrative experience and executive support experience including supporting C-level executives
- Bachelor's degree preferred
- Biotech or pharma experience preferred
- Experience in a small start-up environment a plus
- Expert proficiency with Microsoft Office
- Highly flexible team player with the ability to prioritize and work independently with limited supervision
- Ability to design and edit presentations and materials
- Excellent written and verbal communication skills
- Strong organizational and time management skills
- Ability to handle confidential information and exercise good judgment
