Job Description
The Legal Administrative Assistant, operating in an outsourced capacity, focuses on providing civil litigation support for an AM100 law firm client. We are seeking a highly motivated individual with at least 5 years of experience. Strong technical, organizational, and administrative skills are essential, along with the ability to prioritize and work independently in a fast-paced environment.
Shift: Monday-Friday, 11am-7:30pm PST
Key Responsibilities:
- Process expense reimbursements accurately and promptly.
- Retrieve and organize documents from courts as required for cases.
- Utilize knowledge of civil procedure and evidence rules to research and apply legal standards effectively.
- Prepare pleadings, motions, and other legal documents with high accuracy and attention to detail.
- Apply familiarity with legal terminology and procedures to support legal team operations.
- Use LexisNexis/Westlaw proficiently to gather cases for attorney review.
- Demonstrate understanding of "redline" and "blackline" document comparisons.
- Independently create Table of Authorities (TOA) and Table of Contents (TOC) without external assistance.
- Conduct intake procedures and gather necessary information as assigned.
- Enter and manage data accurately within various systems.
- Format, input, edit, retrieve, copy, scan, and transmit legal documents and relevant information as needed.
- Prepare pleadings, discovery documents, and contracts for filing, service, and editing with minimal errors.
- Organize and maintain pleading/discovery binders, indexes, and case files.
- Utilize docketing/calendaring systems to track court dates and filing deadlines.
- Assist with overflow work including typing, filing, photocopying, and mailings.
- Generate attorney timesheets, expense summaries, client bills, and reports as directed.
- Collaborate with colleagues to complete assigned projects and maintain confidentiality.
- Ensure confidentiality and integrity of client/attorney information.
- Maintain organized files, records, and reports for easy retrieval.
- Participate in special projects and other assigned duties as required.
- Demonstrate strong typing skills (75+ words per minute) with excellent spelling, grammar, and punctuation.
- Quickly learn new skills and adapt to evolving job requirements and technologies.
Qualifications
- High School Diploma or GED with 5+ years of work experience, ideally in civil litigation
- Proficiency in court procedures, including e-filings, trial preparation, and adherence to civil procedure rules.
- Ability to consistently apply relevant policies, procedures, and legal regulations while executing job responsibilities.
- May provide oversight of work conducted by junior level staff and/or review/audit work for accuracy.
- Advanced proficiency in technology, including MS Office or MAC, for word processing, spreadsheets, and specialized legal software essential for effective job performance.
- Excellent oral and written communication skills, enabling clear and effective communication across departments and with legal professionals.
- Strong organizational skills with a proven ability to manage deadlines, prioritize workload, and adjust to meet evolving business needs.
- In-depth knowledge of functional areas related to litigation or a professional field within the legal industry
Additional Information
The national pay range for this role is $40,900 to $85,300 annually. The pay range may be slightly lower or higher based on the geographic location of the hired employee. The actual pay offered may vary based upon, but not limited to: education, skills, experience, proficiency, performance, shift and location. In addition to base salary, depending on the role, the total compensation package may also include participation in a bonus, commission or incentive program.
