Virtual Executive Assistant

About the Role
A growing transportation company is seeking a sharp, proactive virtual assistant to manage the calendars of four senior-level executives. This is a high-trust executive assistant role for someone who thrives on organization, anticipates scheduling needs before they're voiced, and keeps four busy calendars running without collisions. If you're detail-obsessed, calm under pressure, and a clear communicator, we want to hear from you.
Please note: This is an English-speaking role. Candidates must be able to communicate clearly and professionally in English, both written and verbal.
Responsibilities
- Manage and coordinate daily calendars for four senior executives, including scheduling, rescheduling, and resolving conflicts
- Coordinate internal and external meetings across multiple time zones
- Proactively flag scheduling conflicts, gaps, and priorities before they become problems
- Send timely reminders and meeting prep ahead of key appointments
- Keep calendars accurate, current, and conflict-free at all times
- Liaise professionally with clients, partners, and internal teams to schedule and confirm meetings
Requirements
- Fluent English (spoken and written); C2 certification or time spent in an English-speaking country (Required)
- 2+ years of experience as a virtual assistant, executive assistant, or managing complex calendars for English speaking customers
- Expert with Google Calendar and/or Outlook; comfortable with scheduling tools
- Strong judgment on prioritization — knows what's urgent vs. what can wait
- Excellent written communication and a polished, professional manner
- Highly organized — able to juggle four executives' calendars without dropping details
- Reliable internet and a quiet, dedicated workspace
- Comfortable using AI tools to work efficiently and independently
- Self-starter who can work independently and manage time well
- Remote-ready setup: reliable computer, dual monitors, smartphone, headset and stable internet
- A quiet, professional environment suitable for making outbound calls
- Willingness to work flexible hours to align with U.S. time zones when needed
Schedule
- Working hours follow Pacific Time: 8:00 AM – 5:00 PM PT
- For Ecuador-based candidates, this is 10:00 AM – 7:00 PM
