Position Summary
CYIENT is seeking an experienced Executive Assistant to provide comprehensive administrative, operational, and strategic support to our executive leadership. The ideal candidate is highly organized, proactive, exercises sound judgment, and thrives representing leadership in a fast-paced professional environment.
Key Responsibilities
Administrative Support
Manage calendars, schedules, and appointments
Coordinate meetings, conferences, and events
Handle phone calls, email, and executive correspondence
Prepare agendas, presentations, reports, and documents
Take meeting minutes and track follow-up actions
Organize and maintain electronic and physical filing systems
Communication & Stakeholder Management
Serve as the primary point of contact between the executive and internal/external stakeholders
Screen and prioritize communications to ensure timely responses
Draft professional emails, memos, and letters on behalf of the executive
Coordinate with staff, clients, vendors, and partners
Travel & Logistics
Arrange domestic and international travel (flights, hotels, visas, itineraries)
Prepare travel briefs and manage expense reports and reimbursements
Provide logistical support for virtual and in-person meetings
Project & Strategic Support
Support special projects and administrative initiatives
Coordinate cross-departmental tasks and follow up on action items
Conduct research, data analysis, and market or competitive reviews
Assist with business reports, presentations, and expense tracking
Support office operations and process improvements
Confidentiality & Professional Judgment
Handle sensitive and confidential information with discretion
Exercise sound judgment when representing the executive
Anticipate executive needs and proactively resolve issues
Qualifications
Required
5+ years of experience supporting senior executives (Director, VP, or C-suite)
Demonstrated discretion handling highly confidential information
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and Google Workspace
Excellent written and verbal communication skills
Proven ability to manage multiple competing priorities and deadlines
Experience coordinating international travel and complex multi-leg itineraries
Strong proficiency with virtual meeting platforms (Zoom, Teams, Webex)
Preferred
Bachelor's degree
Experience with CRM platforms and document management systems
Prior experience in [aerospace / engineering / technology / financial services / etc.]
