We are seeking a Senior Administrative Assistant to support senior leadership within a fast-paced, global organization. This is a high-visibility role requiring a professional who thrives in dynamic environments and can seamlessly manage executive support, operations, and coordination across multiple stakeholders.
The ideal candidate brings prior experience within the same global sportswear environment and can quickly adapt to the pace, expectations, and complexity of the business.
Key Responsibilities:
Executive Support & Calendar Management
- Manage complex, high-volume calendars across multiple senior leaders.
- Coordinate meetings across time zones, resolve conflicts, and prioritize shifting demands.
- Act as a trusted partner to leadership.
Travel & Event Coordination:
- Coordinate domestic and international travel (flights, hotels, ground transportation).
- Plan and execute meetings, offsites, and team events (logistics, vendors, budgets, agendas).
- Manage last-minute changes and ensure smooth execution.
Financial & Administrative Support:
- Prepare and reconcile expense reports.
- Track budgets and manage purchase orders (POs).
- Partner with Finance on invoices and reporting.
Communication & Documentation:
- Create and format presentations, reports, and communications.
- Maintain org charts, distribution lists, and shared resources.
- Draft communications on behalf of leadership.
Operational Support:
- Support team operations, workspace planning, and special projects.
- Coordinate across cross-functional teams and stakeholders.
- Provide backup support to other leaders as needed.
Required Qualifications:
- Minimum 3+ years of administrative experience supporting senior leaders.
- Prior experience within a global sportswear organization (required).
Advanced expertise in:
- Microsoft Outlook (complex calendaring).
- PowerPoint, Excel, Word.
- MS Teams / Zoom.
Proven experience in:
- Executive-level support.
- Travel coordination (domestic & international).
- Event planning and logistics.
- Strong ability to work in a fast-paced, high-ambiguity environment.
- Excellent communication, organization, and stakeholder management skills.
- Ability to handle confidential information with discretion.
Preferred Qualifications:
- Experience supporting HR or People teams.
- Exposure to budget tracking and financial processes.
- Familiarity with AI tools (e.g., ChatGPT, Copilot).
- Experience with Keynote.
Work Environment:
- Onsite role based in Beaverton, OR (Remote Fridays).
- Supporting multiple senior leaders in a dynamic, collaborative environment.
- Requires flexibility, including occasional support outside standard business hours.
Additional Information:
- This is a contract role with strong potential for extension.
