Executive Personal Assistant (Remote with Travel Flexibility) Position Overview
We are seeking a highly organized, proactive, and detail-oriented Executive Personal Assistant to support a dynamic business executive operating primarily within the cannabis industry, with additional involvement in the food and hospitality sector.
This role requires a high level of discretion, adaptability, and initiative. The ideal candidate thrives in a fast-paced entrepreneurial environment, is comfortable managing both business and personal responsibilities, and can anticipate needs before they arise.
While this is primarily a remote position, occasional travel may be required to support in-person meetings, business operations, or special projects.
Key Responsibilities
- Calendar & Schedule Management
- Coordinate and manage daily, weekly, and long-term schedules
- Prioritize meetings, calls, and deadlines across multiple business ventures
- Anticipate scheduling conflicts and proactively resolve them
- Communication Management
- Draft, send, and respond to emails on behalf of the executive
- Serve as a point of contact for external communications
- Screen and manage phone calls, messages, and inquiries
- Administrative Support
- Handle a wide range of administrative and clerical tasks
- Organize digital files, documents, and records
- Assist with data entry, document preparation, and light reporting
- Meeting Coordination & Support
- Schedule and coordinate meetings, calls, and appointments
- Prepare agendas and materials as needed
- Take accurate meeting minutes and track follow-ups/action items
- Task & Project Management
- Manage and track both personal and business-related tasks
- Assist in executing projects across multiple companies and industries
- Ensure deadlines are met and priorities are maintained
- Travel & Logistics
- Be available for occasional travel to assist on-site when needed
- Confidentiality & Discretion
- Handle sensitive business and personal information with the highest level of confidentiality
- Exercise sound judgment in all communications and decision-making
Qualifications
- Proven experience as an Executive Assistant, Personal Assistant, or similar role
- Exceptional organizational and time-management skills
- Strong written and verbal communication abilities
- High level of professionalism and discretion
- Ability to multitask and prioritize in a fast-paced environment
- Tech-savvy (Google Workspace, Microsoft Office, scheduling tools, etc.)
- Self-starter with the ability to work independently in a remote setting
- Willingness and ability to travel occasionally
Preferred Experience
- Experience working with executives in cannabis, food, hospitality, or startup environments
- Familiarity with regulatory or compliance-heavy industries
- Experience managing multiple business entities or projects simultaneously

Pay: $14.00 - $18.00 per hour
