Under the supervision of the Assistant Vice President of Special Events, this position provides operational and administrative support for the planning and execution of the University’s Commencement Weekend. Commencement Weekend includes 12 different ceremonies, encompassing over 2,800 graduates and over 42,000 guests throughout the weekend. This is a temporary non-exempt staff position scheduled to work 40 hours per week for a duration of up to three (3) months.
Must be available to work Commencement, including nights and weekends the week of May 18-24.
Responsibilities
Commencement Support
- Support the planning and on-site execution of Commencement Weekend activities.
- Respond to Commencement inquiries via phone and email, providing timely and professional customer service.
- Assist with maintaining and updating the Commencement registration database, including data entry and record accuracy.
- Provide day-to-day administrative and logistical support to the Special Events team, including supply tracking, material preparation, and office coordination.
- Assist with event-day logistics, including check-in support, materials distribution, credential preparation, and general on-site troubleshooting under supervision.
Required Qualifications
- Bachelor’s degree or equivalent combination of education and experience.
- Experience working in a customer-service or administrative role.
- Excellent written and verbal communication skills, with attention to detail, accuracy, and tone appropriate for diverse audiences.
- Ability to prioritize tasks and work both independently and collaboratively in a fast-paced environment.
