Job Description
The Executive Assistant for the Office of the President reports to the Chief of Staff and
works closely with the Office of the President staff to support the University’s mission. This
role provides critical support to the Chief of Staff, Legal Counsel, and Assistant Vice
President for Government Relations and Strategic Initiatives (AVP_GRSI). The incumbent
will coordinate and monitor information flow, handle requests from students, staff, faculty,
and external constituents and respond to these requests by conducting legal and other
research, coordinating necessary documents or scheduling meetings to resolve important
matters. Key duties include managing the Chief of Staff’s, Legal Counsel’s and AVP_GRSI’s
calendars, organizing various activities such as conference calls, internal and external
meetings, speaking engagements, and ensuring all necessary meeting preparations – such
as agendas, media, IT needs, room reservations, and catering – are efficiently handled.
Furthermore, this position will be the primary Freedom of Information Act appointee for the
University. Additionally, the role includes preparing, reviewing, and finalizing various
documents, including legal documents, from draft to final copy. The incumbent will provide
a wide range of support to the Legal Counsel in both day-to-day activities and special
projects including managing subpoena and discovery requests, and must handle highly
sensitive information with professionalism and confidentiality.
Required Qualifications
- A minimum of 5 years of recent and relevant experience providing senior-level
administrative or operational support, demonstrating a track record of managing
complex tasks and projects.
- Working knowledge of the FOIA and its practical application, including response
procedures, exemptions, deadlines, and coordination with legal counsel to ensure
compliance.
- Exceptional communication skills, both written and oral, with proven experience in
preparing, reviewing, and finalizing various documents from draft to final copy.
- Strong time management skills and scheduling, including handling complex and
sensitive functions with discretion and efficiency.
- Proficiency with Microsoft Word, PowerPoint, Excel, and calendaring software, as
well as other related programs essential for administrative support.
- Proven high level of integrity, trustworthiness, and confidentiality in managing
sensitive information and issues.
- Experience working collaboratively with diverse individuals and teams.
Preferred Qualifications:
- Experience as a legal secretary, paralegal, drafting legal documents, or performing
legal research and analysis may be given preference.
- Paralegal Assistant certification or related certification may be given preference.
- Experience providing support for multiple senior executives simultaneously may be
given preference.
