Medical Phone Receptionist
Experience Required: 2+ years in a medical or mental health office setting
Position Type: Full time Remote (with in-person training)
Compensation: Based on experience
W2, health insurance, PTO and IRA available
We’re looking for a medical phone receptionist who understands that the receptionist is more than a receptionist —it’s the first calm voice, the first steady hand, the first point of trust. This role is for someone who knows office flow, respects confidentiality, and moves with both compassion and precision.
Key Responsibilities
• Triage high volume incoming phone calls with professionalism, warmth, and clinical awareness
• Schedule intake appointments accurately and efficiently
• Collect and verify client information with strong attention to detail
• Ensure all intake documents and consent forms are sent, received, and completed prior to intake assessments
• Confirm and maintain up-to-date insurance and credit card information
• Send forms and documentation to providers as needed to support clinical flow
• Maintain organized, accurate records while protecting client confidentiality
• Support smooth daily office operations and collaborate closely with clinical and administrative staff
- Other tasks and duties as needed
Training & Work Environment
• Training will be conducted in person
• This is a remote position following completion of training
• Must have a quiet, private workspace suitable for confidential conversations
• Reliable, high-speed internet is required
• Ability to maintain professionalism and focus while working independently
What We’re Looking For
• At least 2 years of experience in a medical office setting, mental health office setting preferred
• Strong understanding of office procedures, scheduling systems, and workflow
• Comfortable handling sensitive information with discretion and care
• Compassionate, grounded, and able to stay calm under pressure
• Highly organized with strong follow-through
• Proficient in Google Docs and Sheets
• Clear communicator—both written and verbal
