HCT’s Administrative Coordinator is responsible for billing clients, reconciling rental car, lodging, flights (when applicable), coordinating travel/ events for Healthcare Transformation Interim and the company. Heavy use of excel and QuickBooks within this role
Billing/Collections
- Attention to detail when entering items into QuickBooks system and adhering to agreement with individual clients.
Expense Report Processing
- Administrative Coordinator will assist with auditing interim expense reports per HCT Travel Policy including preparing receipts for invoicing clients.
Spend Reconciliation / Documentation
- Administrative Coordinator will reconcile all spend by documenting and filing receipts for each charge in the designated location no later than 30 days of each charge being processes.
Travel and Lodging
- The Administrative Coordinator will manage rental car, airfare and lodging vendors and bookings including providing quotes needed prior to assignment starting, acting as a liaison between interim and vendors, booking needed travel, and managing vendor billing and payment processes.
Credentialing/Onboarding
- Organization and catering to each client’s requirements while partnering with vendors to obtain needed documentation for interims to gain clearance to work onsite for clients.
On-Call
- Availability and ability to flex hours is needed.
Qualifications:
- QuickBooks experience required
- Knowledge and comfortable in Excel utilizing and creating spreadsheets
- Proven success working in a remote environment
- Excellent Documentation Skills and ability to multitask and prioritize situations
- Knowledge and comfort with computers and internet searching
- Hardworking, dedicated, strong work ethic
- Effective communication style
- Desire to cross train within the Administration Department to enable teamwork
- Basic Travel Knowledge a plus
- Certify/Emburse Experience a plus
This position will also be responsible for any day-to-day duties with which the Administration Department or Healthcare Transformation require Assistance with and will report to the Manager, Administration. Attention to detail, ability to work with minimal supervision and a professionalism in all correspondence is required.
