We are looking for a motivated fully remote Administrative Assistant to assist with a contract role that will last two to four weeks, possibly longer. In this role, you will provide critical operational support, including managing travel expenses, coordinating purchase orders, and maintaining data integrity across systems. The ideal candidate will have experience processing travel requests and expense reports.
Responsibilities:
• Manage travel and expense reports for executives, including organizing receipts, reconciling charges, and allocating costs in financial systems.
• Collaborate with internal teams and external vendors to gather information and generate purchase orders efficiently.
• Ensure accurate and consistent job records in relevant systems, maintaining overall data integrity.
• Handle large datasets with precision, ensuring accuracy and reliability in all data management tasks.
• Prioritize and juggle multiple deadlines while maintaining high-quality results in a fast-paced environment.
• Work independently to drive projects to completion with minimal oversight.
• Communicate effectively with colleagues and vendors to ensure smooth operations and resolve any issues.
• Anticipate needs proactively and take initiative to address tasks before being directed.
• Maintain confidentiality and handle sensitive information with discretion and professionalism.
• Minimum of two years of experience in administrative, finance, or business operations roles.
• Proficiency in Microsoft Excel for data analysis and reporting.
• Familiarity with financial systems such as Maconomy, Concur, or similar platforms is preferred.
• Strong organizational skills, with the ability to manage multiple priorities effectively.
• Excellent written and verbal communication skills for clear and precise interactions.
• Detail-oriented mindset with a commitment to accuracy in all tasks.
• Self-motivated and resourceful, with a proactive approach to problem-solving.
• Proven ability to handle confidential information responsibly and reliably.
