About the Role
We are seeking a highly organized, detail-oriented Administrative Assistant to provide direct support to the Chief Administrator and executive leadership team. This role will play a critical part in day-to-day operations, executive coordination, and administrative support across the organization. The ideal candidate is proactive, resourceful, and eager to grow over time with the brand.
Key Responsibilities
Executive & Administrative Support
• Manage and maintain calendars for multiple executives, including scheduling, rescheduling, and coordinating availability
• Assist with meeting preparation, agendas, follow-ups, and documentation
• Handle email correspondence, document organization, and file management
• Provide full general administrative and business support across the organization
• Coordinate logistics for virtual meetings and occasional travel needs
• Maintain confidentiality and professionalism when handling sensitive information
Operational & Reporting Support
• Assist with light reporting, data tracking, and maintaining operational spreadsheets
• Support basic research projects related to business operations, partnerships, and vendor management
• Help compile summaries and reports for internal review and leadership use
• Track tasks, deadlines, and operational workflows using tools such as Monday.com
IP & Brand Protection Support
• Conduct research to identify counterfeit websites, unauthorized sellers, and IP misuse across online platforms
• Maintain organized records and spreadsheets documenting findings
• Support the Chief Administrator in coordinating with legal teams, platform partners, or third-party vendors regarding takedown efforts
• Monitor ongoing issues and assist with tracking resolution status
Order & Process Support
• Process and manage Cameo Kids orders, ensuring accuracy, timeliness, and proper tracking
• Assist with documentation of internal processes and standard operating procedures
• Support special projects and operational initiatives as assigned
Qualifications
• Bachelor’s degree required
• 2–3+ years of administrative, executive support, or operations-related experience preferred
• Experience supporting multiple executives and managing complex calendars
• Strong organizational, research, and analytical skills
• Comfortable working with spreadsheets, reporting, and maintaining documentation
• Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Workspace
• Familiarity with project management and workflow tools such as Monday.com (or similar platforms)
• Excellent written and verbal communication skills
• High level of discretion, reliability, and attention to detail
• Comfortable working independently in a remote environment
• Must reside in the state of Texas
