About the Role
As Executive Assistant, you will be a critical partner to the CEO and provide logistical and administrative support to the VP of Enterprise Sales and VP of Sales. You will help organize, prioritize, and manage the fast-paced schedules, travel, and meeting logistics of Impruvon Health’s most externally-facing leaders. Your work will help ensure they stay focused on strategic growth and relationship-building.
You will report directly to the CEO while providing day-to-day administrative support to senior revenue leadership.
This is a high-trust, high-impact role that requires exceptional organizational skills, discretion, and a proactive mindset. You will anticipate needs, solve problems before they arise, and help keep our executive team moving smoothly and efficiently.
This role is ideal for someone who thrives in a startup environment with shifting priorities and limited structure.
Key Responsibilities
Executive Support (CEO)- Manage complex and dynamic calendars, prioritizing time effectively based on business needs
- Schedule internal and external meetings, calls, and events with attention to detail and clear communication
- Serve as a gatekeeper and liaison for inbound communication and scheduling requests
- Draft, edit, and format emails, meeting notes, and presentation materials as needed
- Ensure CEO is prepared for meetings with relevant materials and context
Travel and Logistics (CEO, VP Sales, VP Enterprise Sales)- Coordinate multi-leg, multi-location travel itineraries across time zones
- Book flights, lodging, transportation, and organize expense reporting
- Anticipate and resolve conflicts, delays, and last-minute changes efficiently
- Track and communicate travel plans to internal stakeholders for awareness and alignment
Operational and Project Support- Help prepare agendas, follow-ups, and action items for recurring leadership and partner meetings
- Support key events including team offsites, conferences, and executive meetings
- Assist in organizing internal communications, team updates, and shared documentation
Skills, Knowledge & Experience
Required Skills and Experience- 3 or more years of experience in an Executive Assistant, Chief of Staff, or high-level administrative role
- Experience supporting a startup CEO or fast-moving executive, ideally in healthcare, tech, or services
- Strong financial awareness and good judgment with travel, purchases, and resource allocation
- Demonstrated success managing complex calendars and high-volume travel
- Tech-savvy with proficiency in Google Workspace, Slack, and calendar management tools
- Excellent verbal and written communication skills with strong attention to detail
- High discretion and sound judgment in managing sensitive information
Preferred Tools and Platforms- Experience with travel booking platforms such as Concur, TripActions, or similar
- Familiarity with CRM systems like HubSpot or Salesforce
- Comfort with Zoom, Slack, Notion, and internal project management tools

Additional Requirements- Must be available during core Eastern Time business hours
- Willingness to travel occasionally for team events or coordination
