We are seeking a highly organized and proactive Executive Administrative Assistant to support senior management and ensure the smooth operation of our office. Duties
- Manage and coordinate calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with precision.
- Prepare, proofread, and transcribe documents, reports, and correspondence to ensure accuracy and professionalism.
- Handle incoming calls with excellent phone etiquette, directing inquiries appropriately through multi-line phone systems.
- Organize and maintain filing systems, both digital and physical, ensuring quick retrieval of information.
- Assist with event planning and project coordination for company events and initiatives.
- Perform data entry and bookkeeping tasks using QuickBooks and other office management software.
- Support executive team with personal assistant duties including travel arrangements, expense reports via DocuSign, and other administrative support.
- Conduct office management tasks such as front desk responsibilities, customer service interactions, and general clerical duties including filing and data entry.
- Prepare presentations and reports using Microsoft Office Suite, ensuring clarity and professionalism.
Skills
- Proven experience in office management, administrative support, or as a personal assistant.
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
- Excellent typing speed and proficiency in transcription, proofreading, and data entry.
- Advanced computer literacy including Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and familiarity with Microsoft Outlook Calendar.
- Experience with QuickBooks for bookkeeping purposes.
- Exceptional phone etiquette skills with experience managing multi-line phone systems.
- Ability to coordinate projects efficiently while maintaining attention to detail.
- Knowledge of event planning processes and project coordination techniques.
- Familiarity with office equipment such as fax machines, scanners, and printers.
- Strong customer service skills with a professional demeanor in all interactions. This position is integral to maintaining organizational efficiency through expert administrative support. The successful candidate will demonstrate a high level of professionalism, adaptability, and dedication to excellence in all tasks undertaken.
Pay: $18.00 per hour
Expected hours: 20.0 – 30.0 per week
