Work Environment: Virtual/Remote (Florida-based financial services practice)
Supervisory Responsibilities: This position has no supervisory responsibilities.
This Administrative Assistant role supports a CFP®-led financial planning practice by performing a wide range of clerical, administrative, and client-support tasks. This role is ideal for an organized, resourceful professional who excels at managing details, juggling priorities, and keeping operations running smoothly from behind the scenes. The successful candidate brings a positive mindset, a tech-savvy approach, and the ability to work independently with confidence. The ideal candidate is highly resourceful, willing to learn and research the answer before seeking help. A successful candidate can operate in a fast-paced environment, work autonomously, and develop a strong rapport with the CFP® to become an effective assistant. Additionally, the Administrative Assistant needs to have a concierge-focused approach to customer service, capable of handling all phone calls, client inquiries, scheduling requests, and acting as a virtual receptionist for the CFP®.
Duties/Responsibilities
Core Administrative Duties
- Manages client correspondence and customer service inquiries.
- Processes client documentation and financial paperwork with high accuracy and confidentiality.
- Maintains and updates client records in Salesforce (experience highly preferred).
- Coordinates scheduling and provides calendar management assistance for the financial advisor.
- Supports internal and client-facing projects using Microsoft Office and related tools (Outlook, Word, Excel, Teams, PowerPoint).
- Handles task-oriented administrative duties with exceptional organization and follow-through.
- Proactively identifies inefficiencies, anticipates needs, and proposes resourceful solutions.
- Works independently and manages time effectively with minimal supervision.
- Maintains a consistently positive, service-oriented, and solution-driven approach in a fast-paced environment.
- Ensures all client records and communications adhere to regulatory and firm compliance standards.
- Other duties as assigned.
Highly Desired Candidates Will Have:
- Salesforce experience
- Previous experience working in the financial services sector.
- Located near Wesley Chapel, FL
- Comfortable working with marketing tools such as Canva and social media management.

- Proficient in Microsoft Office Suite; strong comfort with technology and digital tools.
- Excellent organizational skills and meticulous attention to detail.

- Basic understanding of clerical procedures and systems, such as recordkeeping and filing.
- Ability to work independently with minimal supervision.
- Maintains professionalism, confidentiality, and sound judgment with discretion to client’s personal and financial information.
Education and Experience
- Associate’s degree required; Bachelor’s degree in a related field preferred.
- Three to five years of experience in an administrative role.
- Clean background required; applicant will be fingerprinted.
- Must be at least 18 years of age.
Physical Requirements
- Prolonged periods sitting at a desk and working on a computer.
Workplace and Technology Considerations
- The CFP® will provide office equipment necessary for daily business operations. Office equipment will include a business-issued computer with a VPN connection and printer.
- The applicant must have a reliable internet connection that is consistent and performs well without major disruptions like lag, throttling, or disconnections. The internet connection must be able to handle video calls, VPN connections, and other high-speed requirements. A mobile hotspot is not considered a reliable internet connection.
- The applicant must have a professional place to work with minimal distractions.
Benefits & Pay
- Paid Time Off (PTO).

- Flexible schedule tailored to performance and availability (full or part-time) with the understanding that the candidate must be available during standard business hours: Monday through Friday, 9 am to 5 pm.
- $18 to $25 an hour.
