Role Description:
We have a fantastic opportunity for a remote experienced Administrative Assistant to support the department head for Business Development, Brand Management, and Integrated Marketing globally. Successful candidates must be able to prioritize work, be detail oriented, work independently, and help to foster a team atmosphere in a remote professional, fast-paced environment.
Position is remote, candidates must either be located in New York area and/or work in an East Cost time zone.
Job Responsibilities:
- Manage daily administrative tasks, including scheduling, organizing files, documents and correspondence
- Provide calendar management across multiple international time zones.
- Coordinate team in person and virtual meetings, events, and prepare agendas.
- Assist in project management through tracking deadlines and facilitating communication across multiple teams.
- Complete a broad variety of administrative tasks including assisting with special projects, reports, and presentations; undertaking research projects as and when needed.
- Create & own tracker documents, manage incoming deal memos for approval, organize weekly reports ready for Head of department’s review. Manage any internal and external comms necessary.
- Review incoming direct business enquiries and redirect to relevant internal staff member or external licensing agents.
- Organize travel, accommodation, transport and transfers and draft itineraries.
- Administer monthly expense reports & tracking.
- Package and ship any materials needed for conferences as necessary.
- Maintain the highest level of discretion and confidentiality in handling sensitive information.
Minimum Qualifications:
- 3+ yrs of solid administrative support experience highly preferred.
- Proven experience in Administrative Assistance skills.
- Previous experience in Marketing, Licensing, or Entertainment preferred.
- Excellent written and verbal communication skills.
- Associate or bachelor’s degree preferred.
- Self starter, pro-active, organized with strong interpersonal skills.
- Confident to liaise at all levels.
- Proven problem-solving skills.
- Flexibility to work additional hours as required.
Skills
- Highly proficient with MS Office suite of applications and general comfort with learning new software applications. Ability to design and edit presentations.
- Ability to work independently and as part of a team.
- Interest in consumer products, pop culture, and “kawaii culture” a plus.
- Attention to detail and organizational skills
The pay rate/range for this role is $27.00-$32.00 per hour, with final offer amount dependent on education, skills, experience, and location.
This position is also eligible for benefits including medical, dental and vision options. Employer paid life insurance and long term disability. As well as 10 paid holidays, PTO and sick pay.
