We manage and support multiple mission-aligned clients, including 90 Minds (a professional association for ERP consultants), Days of Dialogue (a civic engagement and conflict resolution nonprofit), and additional consulting and event-based projects under The Affinity Alliance umbrella.
We are seeking a highly organized and proactive Virtual Assistant to provide executive, event, and community management support across these programs. This role is ideal for someone who thrives in dynamic, collaborative environments and enjoys helping virtual communities and events run seamlessly.
Role OverviewThis part-time, independent contractor (1099) position provides executive, event, and community coordination support for The Affinity Alliance and its client organizations. The ideal candidate is detail-oriented, tech-savvy, and an excellent communicator who enjoys variety, collaboration, and meaningful work.
You will work closely with the Executive Director to manage communications, coordinate logistics, and keep multiple online communities and projects running smoothly.
Key ResponsibilitiesMembership & Community Support
- Onboard new members across two online platforms (Higher Logic and Circle).
- Maintain accurate member records, profiles, and seat allocations.
- Provide responsive and professional support for member inquiries.
- Track renewals, engagement, and community participation metrics.
Event & Program Support
- Support virtual programs (Zoom, Teams, webinars, workshops) — from registration and promotion to follow-up.
- Assist with conference and in-person event logistics (1–2 per year), including schedules, materials, and onsite coordination.
- Prepare and distribute agendas, slides, and follow-up communications.
- Coordinate presenters, facilitators, and participant communications.
- Maintain event calendars and track deliverables.
Content & Communication
- Draft and edit newsletters, announcements, and community updates.
- Post and maintain resources, events, and discussion threads in online platforms.
- Assist with light website updates and social media content coordination.
- Ensure consistent branding, tone, and accuracy across communications.
Executive & Project Support
- Manage calendars, appointments, and deadlines for the Executive Director.
- Prepare reports, spreadsheets, and presentations.
- Coordinate between teams and clients to ensure project milestones are met.
- Provide administrative support for grants, sponsorships, and proposals.
Qualifications- Strong organizational and communication skills, with excellent attention to detail.
- Proficiency in Google Workspace, Microsoft Office (especially Excel and PowerPoint), Slack, and Teams.
- Experience with online community or membership platforms (Higher Logic, Circle, MailChimp, or similar).
- Event and online community management experience is a BIG plus.
- Quick learner with new tools (Asana, Airtable, Canva, Zoom Events, etc.).
- Professional, dependable, and able to manage multiple priorities across clients.
- Experience in nonprofit, professional association, or consulting settings preferred.

- Compensation: $20–$40/hour, commensurate with experience
- Location: Virtual/remote, with potential for 1–2 in-person events annually (Southern California preferred)
