The Opportunity: Executive Assistant
At LifeLoop, the Executive Assistant to the CEO plays a vital role in supporting executive operations, internal communications, company culture, and strategic alignment. This role is ideal for someone who thrives in a fast-paced, purpose-driven environment, is detail-oriented, proactive, and can operate with high levels of discretion, emotional intelligence, and business acumen.
This is not a traditional administrative role – it is a highly visible, cross-functional position that combines strategic coordination with culture stewardship. You will support the CEO and broader Executive Leadership Team (ELT) through execution of internal logistics and communications, driving cross-functional initiatives, and modeling LifeLoop's core beliefs through day-to-day interactions.
Executive Support
- Support the CEO and Executive Leadership Team by ensuring priorities are aligned, time is protected, and operations run smoothly.
- Manage the CEO’s calendar with strategic awareness of priorities, stakeholder engagement, and time allocation.
- Coordinate domestic travel and complete timely expense reports for the CEO.
- Serve as a liaison and coordinator for the broader ELT, helping the team stay aligned, organized, and accountable.
- Own logistics for quarterly ELT/Senior Leadership Team offsites, including travel, venues, activities, and real-time event support.
- Anticipate executive needs by understanding the company’s rhythms and planning ahead accordingly.
Corporate Communications
- Support planning of internal communication touchpoints that keep employees informed, inspired, and connected to our purpose.
- Plan and execute all-company Town Halls, including content prep, speaker coordination, and employee engagement.
- Facilitate Ask-Me-Anything (AMA) sessions and other opportunities for executive transparency.
- Support written and verbal communications on behalf of the CEO, both internally and externally.
- Partner with internal stakeholders to maintain and coordinate the company-wide calendar of events.
- Ensure shared resources (e.g., recordings, planning documents, internal announcements) are consistently updated and accessible.
Operating Model Support
- Help drive alignment and structure through our operating model and business rhythm, Entrepreneurial Operating System (EOS).
- Support adoption and refinement of EOS tools, such as quarterly Rocks and Level 10 meetings.
- Assist in embedding EOS principles into executive operations and team planning.
- Track leadership meeting follow-ups and action items, ensuring outcomes are implemented.
- Maintain alignment across functions by keeping rhythm documents, timelines, and agendas up to date.
Project Management
- Bring clarity, follow-through, and cross-functional coordination to a variety of strategic initiatives and internal efforts.
- Support planning and execution of company-wide and cross-functional initiatives.
- Partner with the Chief of Staff on internal project tracking and reporting.
- Ensure timely updates, clear responsibilities, and thoughtful sequencing of initiatives across functions.
- Manage logistics and comms for internal campaigns and rollouts (e.g., new programs, feedback cycles, recognition moments).
People & Culture Support
- Contribute to a thriving internal culture by supporting employee programs, engagement events, and moments of recognition.
- Partner with People Operations to coordinate employee recognition programs and employee support initiatives.
- Lead planning and coordination for Customer Volunteer Week and other vision-aligned cultural experiences.
- Support logistics for in-person company gatherings, such as all-company meetings, departmental offsites, or special events.
- Model empathy, thoughtfulness, and a strong “people-first” presence in all interactions.
What we expect of you:
- Bachelor’s degree in business, communications, marketing, English, or related field or equivalent, preferred.
- Previous experience may be substituted for a degree
- 3+ years’ experience supporting a C-Level Executive team.
- Coordination and scheduling of complex, multi-site meetings and projects with multiple senior leaders, in a fully remote working environment
- Experience with Entrepreneurial Operating System (EOS) is a plus.
- Proficiency in Microsoft Office including Word, Excel, Power Point, and Outlook.
