Job Summary: The Grants and Administrative Coordinator is responsible for managing day-to-day office operations, supporting grant programs, coordinating the Speakers Bureau, overseeing the bi-annual publication Voices from the Prairie, executing a regular social media and publicity plan, and providing administrative and board support as needed. This role is ideal for a highly organized, self-starting professional with at least two years of experience in administrative or program coordination and a passion for the humanities.
Responsibilities
Administrative & Office Management
- Manage scheduling, team communications, and office appointments
- Maintain digital files, inventory, and equipment
- Oversee office database updates, mailing lists, and board directories
- Provide in person logistical support for staff travel, board meetings, and events
- Serve as receptionist and represent Humanities Iowa to the public
Grants Support
- Maintain accurate grant records and documentation
- Support the Executive Director and board with grant deliberations
- Promote and educate the public on grant opportunities
- Research and draft proposals for outside funding
Programs & Communications
- Coordinate the Speakers Bureau, including logistics and communications
- Organize, edit, and manage production of Voices from the Prairie
- Draft press releases, newsletters, board and committee minutes
- Maintain and update web pages and lead email campaigns and social media strategy
Board Support
- Assist with scheduling, preparation of board materials, and minute-taking
- Serve as staff liaison to relevant board committees
Other Duties
- Pitch in as needed with evolving priorities and projects
Qualifications
· At least 2 years of experience in administrative or program coordination
· Bachelor’s degree required
· Excellent writing, communication, and problem-solving skills
· Highly organized and capable of managing multiple projects
· Proficient in Microsoft Office, Zoom, databases, and communication tools
· Familiarity with nonprofit or federal grants administration a plus
· Positive, team-oriented attitude with strong customer service orientation
Salary:
Salary will be commensurate with the experience, skills, and qualifications that the candidate brings to the position.
