We are seeking an experienced and highly organized Part-time Executive Administrative Assistant, to provide direct support to our CEO. This is a key role that combines high-level administrative tasks with a strong focus on sales processes, strategy, and coordination.
Job Summary:
The Executive Administrative Assistant will work closely with the CEO, assisting with day-to-day operations, managing projects, and facilitating communication. The role will focus on supporting sales activities, ensuring smooth coordination between the CEOs office and the sales team, and contributing to strategy and execution. The ideal candidate will be proactive, detail-oriented, and have a strong business mindset to align with the CEOs priorities.
Key Responsibilities:
- CEO Support: Provide high-level administrative support to the CEO, including attending meetings and handling correspondence.
- Team Coordination: Serve as a liaison between the CEO and the sales team, ensuring seamless communication and alignment with sales targets, meetings, and initiatives.
- Reporting & Documentation: Prepare and maintain detailed reports related to sales performance, client accounts, and ongoing projects. Ensure all necessary documents are updated and easily accessible.
- Client & Stakeholder Communication: Assist in managing relationships with key clients and stakeholders, including organizing follow-up tasks, handling inquiries, and ensuring timely responses.
- Project Management: Help coordinate and track sales-related projects, timelines, and deliverables, ensuring that all activities are completed on time and within scope.
- Document & File Management: Organize sales contracts, proposals, client agreements, and other important documents, ensuring they are stored securely and easily accessible.
- Problem-Solving & Support: Anticipate the CEOs needs and proactively address challenges, providing solutions to sales or administrative issues as they arise.
- Experience: 3+ years of experience in an executive administrative role, preferably supporting C-level executives, with a strong understanding of processes and business operations.

- Exceptional written and verbal communication skills, with an ability to communicate effectively with internal teams and external stakeholders.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with CRM tools (Salesforce, HubSpot) and project management platforms (e.g., Asana, Trello).
- Strong time management skills with the ability to prioritize and adapt in a fast-paced, ever-changing environment.
- Education: Bachelors degree in Business Administration, Sales, Marketing, or a related field is preferred.
