We are currently seeking a versatile and detail-oriented Administrative Assistant to join our team. This position can be either remote or based in our office, providing flexibility for the right candidate. As the Administrative Assistant, you will play a crucial role in ensuring the smooth operation of our organization, assisting with both administrative and clerical tasks.
Key Responsibilities:
- Manage the daily schedule of the Executive Director, including arranging appointments, coordinating meetings, and managing their calendar
- Answer incoming calls and respond to emails, providing exceptional customer service to our clients and partners
- Assist with the coordination and preparation of grant proposals and reports, ensuring all required documents are submitted accurately and on time
- Maintain accurate and up-to-date records, both electronic and paper, to ensure the efficient operation of the organization
- Oversee the ordering and purchasing of office supplies, equipment, and other materials as needed
- Assist with the planning and execution of events and workshops, including handling logistics, registrations, and materials preparation
- Support the team with administrative tasks such as data entry, photocopying, and filing
- Monitor and maintain office equipment and supplies, and coordinate with IT support for any technical issues
- Other duties as assigned by the Executive Director
Qualifications:
- High school diploma or equivalent; Associates degree preferred
- Minimum of 2 years of experience in an administrative role, preferably in a healthcare or non-profit environment
- Strong organizational and time-management skills, with the ability to prioritize and multitask effectively
- Excellent written and verbal communication skills, with a professional and friendly demeanor
- Proficiency in Microsoft Office Suite and Google Suite
- Experience with data entry and database management preferred
- Ability to maintain confidentiality and handle sensitive information with discretion
- Previous experience with grant writing and reporting is a plus
- Bilingual in English and another language is highly desirable
